About this opportunity

The City of Philadelphia is soliciting competitive quotes for a micro purchase of Ice Machines & Components through its PHLContracts eProcurement platform. This micro purchase opportunity, designated B2626691, was posted on March 25, 2026, with a submission deadline of April 8, 2026. The City will award the contract as a whole or by line item, whichever serves its best interest, to the lowest responsive and responsible bidder. All prospective vendors must submit quotes for all items to be eligible for consideration for a whole award, and no delivery or services may commence until formal notification is received from the responsible City department. Vendors are required to submit a signed Consent and Authorization Agreement prior to bid closing through PHLContracts; this agreement may be uploaded to the vendor's profile during registration or attached to the first submitted quote. All quotes must be submitted electronically through PHLContracts with firm, fixed-price pricing valid for 60 days from submission, and products must be delivered FOB Destination Point exclusive of all taxes.

The contract term is 365 days from the effective date upon issuance of a Purchase Order, with a maximum contract value not to exceed $43,000, subject to annual adjustments based on the Consumer Price Index for All Urban Consumers (CPI-U) from January 1, 2020, rounded to the nearest $1,000. The City has implemented a voluntary LGBTQ Applicant Data Form to identify companies beneficially owned and controlled by LGBTQ persons, though participation is entirely discretionary. All successful vendors must comply with nondiscrimination requirements, maintain specified insurance coverage including General Liability of $500,000 per occurrence, Workers' Compensation at statutory limits, and Automobile Liability of $300,000 per occurrence, and must certify no tax indebtedness to the City. Additionally, successful sellers must register for Philadelphia business taxes and execute an electronic payment enrollment form before payments are processed. The City retains sole discretion to reject any or all quotes and to determine the acceptability of any proposed alternate products.
