About this opportunity
The Science Museum of Virginia is requesting bids for furnishing and installing carpet tiles and flooring in the museum's Gift Shop, with bids due August 25, 2026 and a mandatory site visit required prior to bid submission. This is a DSBSD-certified small business set-aside, with award criteria favoring micro businesses (bids up to $10,000) and small businesses (bids up to $100,000).
The scope requires removal and disposal of existing carpet tile and cove base, then installation of 24" x 24" carpet tiles (Tarkett Thread Craft #11877 with Flex-Aide Cushion) and 4.5" rubber cove base (Johnsonite #DC-40) across 1,618 square feet. Adhesives, primers, and reducers are specified with equivalent brand substitutions subject to museum approval. Work must commence on or around August 31, 2026 and be completed within seven days of start, with a preferred completion date no later than September 30, 2026. Installation must occur during normal museum business hours (7:00 a.m. to 5:00 p.m.) and include delivery (FOB Destination), removal of existing materials, and training for museum personnel on product care and maintenance. A minimum five-year warranty against defective materials and workmanship is required, with warranty repairs completed within ten business days of notification.
Bidders must hold Virginia DPOR contractor licensure (Class A, B, or C based on contract value), provide proof of insurance, be authorized dealers and installers for the specified products, and submit three references with completed similar work. Site visit attendance and signature on the attendance sheet are mandatory for responsiveness. The bid price must be a fixed Grand Total Price with no additional charges permitted. Installation must comply with Virginia OSHA standards, state building codes, manufacturer specifications, and Carpet and Rug Institute standards. Final acceptance occurs upon inspection within 30 days of installation, with payment on a Net 30 Day basis per Virginia Prompt Payment legislation. Interested parties should contact mbutts@smv.org or blewis@smv.org to schedule the mandatory site visit.
