About this opportunity
Madison Metropolitan School District, Food & Nutrition, is requesting bids for fresh fruit and vegetable snacks under RFB 4163, with bids due July 29, 2026 at 2:00 p.m. CST. Produce must be sourced within 400 miles of Madison and within Wisconsin — a locational filter — and vendors certified by the Wisconsin Supplier Diversity Program or participating in the Wisconsin Diversity Procurement Network are eligible for a 5% preference on diverse-owned business status.
The District will procure approximately 5,900 servings weekly for elementary students participating in the USDA Fresh Fruit & Vegetable Program. All produce must be delivered in ready-to-eat form, inspected, cleaned, processed, and packaged prior to delivery with labeling including delivery date, farm of origin, and "best by" date. Bidders must propose a weekly delivery schedule and provide documentation of traceability by farm of origin and method of delivery upon request. Vendors must carry worker's compensation and commercial liability insurance with minimum coverage of $1 million.
Pricing is per pound; the District applies a $0.20 per pound preference discount on organic produce in final price comparison. The contract runs September 1 through November 30, 2026, with up to two three-month extensions. Evaluation criteria weight cost at 40%, geographic preference at 15%, sample distance documentation and compliance statement at 10%, sample traceability documentation at 15%, diverse-owned business status at 5%, and references at 15%.
Non-exempt vendors must submit affirmative action plans and equal employment opportunity documentation as a condition of award. Award is contingent on the District receiving notification from the Department of Public Instruction in August that Fresh Fruit and Vegetable Program Federal grant funding has been approved; if grant funds are not received, the bid will not be awarded. The District reserves the right to award in whole or in part.
