About this opportunity
The State of Maine Department of Administrative and Financial Services, Bureau of General Services, Division of Purchases is requesting quotations for rental/service and purchase of heavy-duty nylon tufted entrance floor mats under RFQ 17A 170913-166, with quotations due October 4, 2017. Maine businesses proposing costs within 5% of the low non-Maine bid with equivalent specifications may receive preference consideration.
The scope spans five mat sizes (3×4, 3×5, 4×6, 4×8, 3×10 feet) in multiple colors with low-profile pile, beveled edges, 100% nitrile rubber backing, up to one-gallon-per-square-yard absorbency capacity, and ADA compliance. Rental/service includes weekly pickup, cleaning, and delivery to four Department of Transportation facilities: Presque Isle Region 5 Office (biweekly delivery), Bangor Region 4 Office (biweekly delivery), Hancock Bridge Lot (weekly delivery), and Plymouth Maintenance Garage (weekly delivery). Purchased mats must be new, not reconditioned, and delivered within 30 days of contract award.
The initial contract term runs October 22, 2017 through October 31, 2018, with two optional one-year renewal periods extending through October 31, 2020. All pricing must be submitted in Excel format on a FOB Destination basis including transportation and delivery to all statewide State of Maine facilities, remain firm throughout the contract period, and accommodate net 30 payment terms and State Procurement Card acceptance without surcharge.
Quotations must include product information verifying specification compliance, completed Bid Cover Page and Debarment Form, Municipality Participation Certification, and pricing spreadsheet with bidder name, available colors, manufacturer information, part numbers, bid prices, and delivery timeframes. Award determination will be made on best-value basis, with lowest price selected among conforming bids after specification compliance verification.
