About this opportunity

Walworth County is requesting proposals for an Employee Service Recognition Awards Program under RFP #26-069, with proposals due electronically through the Bonfire Portal by July 20, 2026 at 10:00 a.m. and contract award anticipated by September 18, 2026.

The scope requires vendors to supply a minimum of six products per service level across at least five price-point categories for employees reaching service milestones at one year and each subsequent five-year increment through 50 years of service, along with personalized certificates or congratulatory letters, employee award packets, electronic web-based catalogs, and direct shipment of gifts to employee homes. Walworth County projects approximately 254 total award recipients across all service levels in 2027, with quantities ranging from 145 at the one-year level to one each at the 35-, 40-, 45-, and 50-year levels.

The contract term is one year with four optional one-year renewal periods under the same terms and conditions, effective January 1, 2027. Pricing must be firm for the first year and include all recognition awards, shipping, materials, and startup fees at specified service levels, with no minimum order quantities or dollar amounts required. The County will not accept proposals requiring credit card processing fees or minimum transaction limits and prefers payment via Visa P-Card after delivery; no pre-payment is permitted.

Vendors must demonstrate a minimum of three years of verifiable experience providing similar services, proper Wisconsin business licensing, and current insurance coverage including $1 million commercial general liability, $1 million commercial automobile liability, and statutory workers' compensation. Proposals are evaluated on technical merit (75 points maximum) covering company qualifications, references, scope compliance, and cost competitiveness (25 points maximum). Questions are due July 7, 2026 at 3:00 p.m. Walworth County reserves the right to cancel the contract without penalty due to non-appropriation of funds and extends the contract to other municipalities at the same pricing and terms upon authorization.
