About this opportunity

The Department of Technology for the City and County of San Francisco is issuing a Request for Information on warehouse inventory management solutions for consumable asset tracking across departmental technology operations, with responses due July 30, 2026 at 4:00 p.m. PST. This is an informational RFI only — non-competitive, non-binding, and will not result in a contract award.

The City seeks vendor information on cloud-based Software as a Service (SaaS) platforms capable of centralizing receiving, inventory tracking, distribution, and reporting for non-serialized consumable materials stored in two DT warehouse locations. Currently, DT manages approximately 850 consumable catalog items using fragmented, largely manual processes across ServiceNow, PeopleSoft, and paper-based workflows. The desired solution must streamline workflows, automate inventory transactions, and provide real-time visibility into inventory levels and usage across operational teams.

Required functional capabilities include receiving and put-away management with barcode-enabled workflows, inventory management with automated replenishment alerts, consumable distribution and checkout, inventory request and reservation management, inventory decommissioning workflows, catalog and item master management, cycle counts and accuracy reporting, mobile scanning operations, configurable workflow and notifications, operational and financial reporting, and role-based security controls. The platform must integrate with existing systems — PeopleSoft for procurement and financial transactions (as system of record) and ServiceNow for request intake.

Vendors must indicate support level for each requirement using four categories: Fully Out-of-the-Box, Supported with Configuration, Supported with Customization, or Not Supported/Not Available. The RFI completion guide requires detailed pricing models covering licensing or subscription costs, customization and implementation costs with timelines, support and maintenance costs, third-party application and integration costs, training costs, and contract term discount options.

Questions are due July 2, 2026 at 11:00 a.m. PST. Submissions are not scored or evaluated for merit. The City reserves the right to invite vendors for product demonstrations. Responses become City property subject to California Public Records Act disclosure. Contact: Fan-Wa Wong, 628/652-5251, fan-wa.wong@sfgov.org.
