About this opportunity

Idaho State Police is soliciting quotes under RFQ 5728 for biannual dispatch console cleaning and preventive maintenance at its Meridian and Coeur d'Alene facilities, with quotes due November 9, 2026 through the Idaho e-Procurement System (IPRO). Award goes to the responsive, responsible bidder with the lowest fully burdened total cost.

Scope covers cleaning and preventive maintenance of communications consoles, control rooms, and associated server room areas, including monitors, keyboards, mice, CPU exteriors, wiring, desks, and server equipment, plus minor adjustments to keep equipment in proper operating condition. Services occur twice annually at RCC South, 700 South Stratford Drive, Meridian, and RCC North, 615 West Wilbur Avenue, Coeur d'Alene, scheduled to minimize disruption to active communications and control operations.

Personnel must be professionally trained and experienced in cleaning communications and server equipment, complete ISP background questionnaires and fingerprinting before work begins, and wear identification marking them as contractor employees. The contractor furnishes all labor, equipment, supplies, cleaning products, and personal protective equipment, using low-scent products and noise-minimized equipment. Property damage must be reported immediately and repaired or replaced at contractor expense, and service records are due after each visit.

Submittals include Submittal Form A (background, declarations, and certifications), Submittal Form B (fully burdened price sheet for each service at each facility), and Attachment 1 (reference sheet with a minimum of three references). Contractors must provide proof of insurance before work commences, per the attached insurance requirements.

The initial term is one year, with an anticipated total term of five years upon mutual written agreement for renewal, extension, or amendment. The contract carries a maximum not-to-exceed amount based on awarded pricing and anticipated quantities. The estimated quantity is two services per year at each facility, for evaluation purposes only. ISP guarantees no minimum number of services or expenditures and pays only for services requested and satisfactorily performed. Final invoices are due within thirty calendar days after contract expiration. Prices must remain firm for ninety days following the closing date.
