About this opportunity

Western Suffolk BOCES is soliciting bids for Custodial Equipment and Supplies through Bid #25/26-14CP, with proposals due on May 14, 2025 at 3:00 PM. The procurement covers a comprehensive range of custodial products including brooms, mops, cleaning supplies, vacuum products, floor care equipment, gloves, paper products, and specialized maintenance items for the 2025/2026 school year. The contract will run from July 1, 2025 through June 30, 2026, with potential for additional orders throughout the contract period. Bidders must submit detailed bid packages containing specific product specifications, cost proposal forms, and multiple certifications including non-collusive bidding documentation and sexual harassment prevention policies. Evaluation criteria suggest BOCES will award the contract by individual item, item classification, or in total, based on what is most advantageous to the organization. The bid allows for potential annual price adjustments up to 2% based on the Consumer Price Index, and vendors will be required to provide usage reports documenting purchases.

The procurement is open to municipal and not-for-profit organizations authorized under New York State General Municipal Law sections 100-104, with contract extensions remaining at individual vendor discretion. While specific set-aside designations are not explicitly detailed, the bid implies broad accessibility for educational and governmental entities across New York State. The procurement covers 133 distinct line items spanning a wide range of custodial and maintenance supplies, suggesting a substantial potential contract value. Participating organizations will have the opportunity to purchase awarded goods and services, though final contract terms will be negotiated between BOCES and selected vendors. The bid documents indicate that quantities are estimated and subject to potential increases or decreases, providing flexibility for participating organizations. Vendors must comply with additional state requirements, including the Iranian Energy Sector Divestment Act and maintaining appropriate certifications. While specific budget ranges are not disclosed, the extensive product catalog and multi-jurisdictional access suggest a potentially significant procurement opportunity.
