About this opportunity

The Savannah-Chatham County Public School System (SCCPSS) in Georgia solicited formal sealed bids for commodity processing and distribution of pork products to support the School Nutrition Program under Bid 23-32, with bids due December 6, 2022. The contract was awarded to Brookwood Farms, Inc., effective January 19, 2023, with a total contract value of $18,000 for a one-year term through January 18, 2024.

The scope encompasses processing and delivery of pork products and related food items to approximately 50 school sites weekly during the approximately 40-week school year. The contractor must be approved by the State of Georgia Food Processing Program and maintain HACCP certification. All products must meet federal and state compliance requirements, including USDA Buy American standards, be trans-fat free, and include comprehensive nutritional labeling and specification sheets. Temperature control, packaging, and quality standards are specified with non-conformance subject to rejection, breach declaration, and termination.

Delivery is required Monday through Friday between 6:30 a.m. and 2:00 p.m. Weekly orders are submitted by the School Nutrition Program central office on Wednesdays. Pricing is established for three-month periods with four periods per year; the contractor must submit revised pricing no later than 30 days before each period ends. All prices are firm against increases during the performance period. Price escalation requests exceeding 10 percent of the original bid require manufacturer documentation and District approval. The contractor must pass through all rebates and bill-backs from manufacturers within 30 days of receipt.

The contract includes a one-year initial performance period with the District retaining the right to renew for two additional one-year terms, subject to recommendations by the Director of the School Nutrition Program and Superintendent and approval by the School Board. A 90-day transition period applies if the contract is not renewed, during which the contractor must maintain the same terms and pricing. The District reserves the right to add or subtract products and may purchase additional quantities beyond estimated amounts at the contracted price.
