About this opportunity
The University of South Dakota is issuing a Request for Information on clinical rotation scheduling software for Pillar 3 clinical rotations, with responses due October 28, 2026 and questions due October 16, 2026. This is market research to inform whether USD will issue a subsequent solicitation, pilot request, demonstration request, or other procurement activity — responses do not constitute a binding commitment to contract.
USD seeks vendor information on available products, implementation approaches, workflow support, technical capabilities, data export options, and approximate costs. The scheduling software must support planning, release, adjustment, approval, and administration of clinical rotation schedules spanning approximately 51 weeks of scheduling complexity: 17 weeks of required courses (including surgery specialties, emergency room, sub-internships, rural family medicine, transition to residency, and student affairs courses) and 30 weeks of elective courses across 34 elective options.
Vendors must submit responses in PDF format by 3:00 p.m. Central Time on October 28 and must provide three references from implementations completed within the last two years. USD requests 3- and 5-year cost estimates broken down by maintenance, subscriptions, services, support, interfaces, and other implementation costs. The University reserves the right to request product demonstrations from selected respondents, conducted online to accommodate multiple viewers.
All material submitted in response to the RFI becomes the property of the University of South Dakota and will not be returned. Questions and responses should be directed to chris.phillips@usd.edu. USD reserves the right to reject or deny any requests made by potential respondents.
Opportunity text
The University of South Dakota (USD) is soliciting information regarding scheduling software that can support the planning, release, adjustment, approval, and administration of our Pillar 3 clinical rotation schedules. The University seeks information from experienced vendors about available products, implementation approaches, workflow support, technical capabilities, data export options, and approximate costs.

USD requests all questions be submitted via email, no later than Friday, October 16, 2026 to chris.phillips@usd.edu. Responses to all questions will be distributed to all who are interested. USD reserves the right to reject or deny any requests(s) made by potential respondents. Impromptu, oral questions are permitted, but are only intended as general direction and will not represent and official USD position.
