GCPS reserves the right to renew for up to four additional one-year periods, for a maximum potential term of five years subject to Board of Education approval. Pricing must remain firm for the duration of the initial contract term; requests for price adjustments due to economic factors or acts of God will be reviewed and accepted or denied at GCPS's discretion, with any adjustment limited to actual increased costs.
Required deliverables include monthly nursing notes, advance notice of planned absences (minimum three school days), timely submission of timesheets and invoices by specified deadlines, and all invoices for the fiscal year due by June 30. Awarded vendors must obtain Commercial General Liability Insurance with $1,000,000 per occurrence and $2,000,000 general aggregate limits, Automobile Liability Insurance at $500,000 combined single limit, and Workers' Compensation and Employer's Liability Insurance compliant with Georgia statutory requirements with $1,000,000 per occurrence limits. GCPS must be named as additional insured on all contractor liability policies. Certificates of Insurance must be submitted to the Department of Purchasing and Property Management prior to service commencement.
Contractors must comply with FERPA and Georgia's Student Data Privacy, Accessibility, and Transparency Act, with all improper disclosure constituting material breach subject to contract termination and potential five-year prohibition on handling personally identifiable information.
