The procurement is an electronic Request for Proposals (eRFP) aimed at establishing a contract with a qualified landscaping supplier who will provide all necessary labor, equipment, and tools for grounds maintenance. Specific service requirements include bi-weekly mowing (with different schedules for April-October and November-March), weed control, monthly edging around various campus infrastructure, and specialized maintenance for areas with trees, pine straw beds, and entrance signs. The contract will initially run for one fiscal year (July 1 - June 30) with the potential for four additional one-year renewals, with work permitted between 6:00 am and 8:00 pm Monday through Sunday. Potential bidders must have been in business for at least three consecutive years, be properly licensed and insured in Georgia, and able to provide uniformed staff and all necessary maintenance equipment. The solicitation does not explicitly mention specific set-aside designations or restrictions for disadvantaged enterprises. The contract includes two potential deduct alternates: maintenance of the Bobcat Villas area (5 acres) and campus-wide weed control in brown tree areas. While a specific budget range is not disclosed, the contract is non-exclusive, allowing EGSC to outsource additional services as needed. Payment terms are structured monthly, with invoices submitted after the 1st of each month and payment expected by the 15th if invoices are received by the 5th. Subcontracting is expressly prohibited, and the contractor must maintain a sufficient workforce to complete all scheduled tasks. The contract will be administered by the Chief Business Officer and Chief Financial Officer, with day-to-day operations managed by the Director of Plant Operations. Pricing must remain firm during the initial contract term, with potential price increases negotiable during renewal periods.
