About this opportunity
The Indian Health Service, under the Department of Health and Human Services, is conducting market research to identify vendors capable of providing document shredding services to the Whiteriver Service Unit in Arizona. The procurement seeks secured locking shred bins and on-site document destruction services for the Whiteriver Indian Hospital and Cibecue Health Center, with services to be performed during standard business hours (8:00 AM - 5:00 PM, Monday through Friday) on a monthly collection schedule. The government is specifically interested in identifying vendors that qualify as Indian Economic Enterprises under the Buy Indian Act or meet small business size standards under NAICS Code 561990 (All Other Support Services). Key requirements include the use of crosscut shredding equipment to render documents completely unreadable, maintenance of lockable containers in 65-gallon and 95-gallon sizes across multiple facilities, adherence to National Association for Information Destruction standards for confidentiality, and provision of certificates of destruction for each service. The response deadline for this sources sought notice is April 3, 2026, with interested vendors required to submit company information, SAM registration details, an IHS Buy Indian Act Indian Economic Enterprise Representation Form, and a one-page capabilities statement.
This is a sources sought notice rather than a formal solicitation, meaning responses will inform the government's procurement strategy but do not commit to an award. There is no set-aside designation mentioned, and no incumbent contractor information is provided in the available documents. The contract will feature an initial one-year base period beginning June 1, 2026, with four optional one-year extension periods available through May 31, 2031, establishing a potential five-year contract duration. Specific award values or budget ranges are not disclosed in this market research phase; pricing will be based on open market quotes with itemized costs including on-site shredding fees, per-bin fees by size, per-pound shredding fees, flat-rate fees, and any special charges. The contractor will be responsible for supplying all lockable containers, employing uniformed and trained personnel with visible identification, and maintaining all equipment in proper working condition throughout the contract period.
