About this opportunity
The Department of Veterans Affairs, VISN 15 Network Contracting Office 15, is seeking information and potential qualified sources for recurring preventive maintenance and repair of reusable medical devices, including general stainless-steel surgical instruments, laparoscopic instruments, and sterile container systems, at the Harry S. Truman Memorial Veterans' Hospital in Columbia, Missouri. Responses are due November 16, 2026. This Sources Sought notice is not a solicitation or RFQ, and the government may revise requirements before any solicitation is released. The notice carries a "No Set-Aside Used" designation. All responses will be reviewed regardless of business size or socioeconomic category to support a later set-aside determination if a solicitation becomes available.
Work is performed primarily onsite using a mobile repair van, with repairs at the contractor's facility when necessary. The government provides facility access, parking and staging space for the van, and the instruments and containers. Services span inspection, sharpening, alignment, straightening, polishing, lubrication, calibration, insulation integrity testing, component replacement, and final functional testing across specialty trays including general surgery, orthopedic, neurological, ENT, gynecological, cardiothoracic, vascular, plastic surgery, laparoscopic, microsurgical, and ophthalmic. All work must comply with manufacturer instructions for use and applicable standards.
Service visits occur three times per month during normal business hours, each consisting of one eight-hour service day unless the Contracting Officer's Representative approves otherwise. Key personnel include a Lead Mobile Repair Technician for onsite inspection and quality control, a Field Representative for customer communication and in-service education, and a Contract Manager/Project Manager as primary point of contact. The contractor must comply with VA and local facility security requirements, including badging and check-in procedures, and submit monthly progress reports covering instruments serviced, parts provided, work completed, planned work, and problems encountered.
Interested companies respond by email to matthew.curl@va.gov with a company point of contact (name, title, phone number, and email address), company name, SAM.gov UEI, and small business or socioeconomic information. The Statement of Work is attached, and the agency welcomes feedback.
