About this opportunity

The Department of Veterans Affairs, specifically the John D. Dingell VA Medical Center in Detroit, Michigan, has issued a Special Notice regarding a sole-source procurement for maintenance services on Aria/Eclipse Truebeam medical equipment. The VA intends to award a firm fixed-price contract to Varian Medical Systems for preventative maintenance and emergency repairs of this specialized medical equipment. This procurement falls under NAICS Code 811210 (Electronic and Precision Equipment Repair and Maintenance) with a size standard of $34.0 million. The contract will cover a one-year period from February 19, 2026, to February 18, 2027. The government is citing FAR 6.302.1, indicating only one responsible source exists and no other supplies or services will satisfy agency requirements due to the proprietary nature of the system's hardware, software, and firmware.

The purpose of this Special Notice is to inform potential contractors of the VA's intention to proceed with a sole-source award while providing an opportunity for other vendors to demonstrate that competition would be advantageous to the government. Interested parties must submit their responses by 3:00 PM Eastern Time on October 3, 2025, via email to Alexis.Alexander1@va.gov. Any response must provide clear and convincing evidence that competition would benefit the government, as no solicitation package is available. The contractor selected will be responsible for providing all necessary parts, labor, equipment, materials, and supervision to service the Varian equipment at the medical center. The determination not to compete remains solely at the government's discretion, emphasizing the high bar for challenging this sole-source approach.
