About this opportunity
The U.S. Embassy Bangkok seeks planning, coordination, and execution of the American Fair: Freedom 250 in Nakhon Ratchasima, a three-day event scheduled for October 2–4, 2026, with quotations now due July 15, 2026 at 4:00 PM Bangkok time following Amendment No. 0003. This is an unrestricted, firm fixed-price procurement awarded to the lowest-priced acceptable offeror.
Place of performance is Nakhon Ratchasima, Thailand at Mayfair Market. The contractor must develop and execute a comprehensive fair celebrating America's 250th anniversary with minimum zones including a main stage, educational and interactive exhibits on American history and culture, an agriculture and gastronomy zone with live cooking demonstrations, American business and education booths, games and family activities, and food and beverage areas. All logistics, production, setup, breakdown, transportation, staffing, and event infrastructure (electrical, tents, medical services licensed personnel, waste management, signage in English and Thai) are the contractor's responsibility. The Embassy provides base venue rental only; the contractor must cover all additional venue costs including security deposits (THB 80,000), electrical generators, security personnel, cleaning, truss installation, waste disposal, permits, licenses, and insurance.
Deliverables span three phases: Planning Phase (event concept proposal with site master plan, three-day programming schedule, vendor/partner curation plan, staffing plan and organizational chart, risk mitigation and contingency plan, communications and social media strategy); Execution Phase (successful fair execution); and Post-Event Phase (highlight video of 2–3 minutes, curated photo album, post-event report with attendance estimates and survey analysis). Payment is structured in three milestone-based installments in Thai Baht, excluding VAT, with 30-day terms following invoice. Bid validity is six months from submission.
Offerors must be SAM-registered, demonstrate at least four years' experience organizing fairs, provide past performance references, and obtain all necessary Thai licenses and permits. Contractors must carry Defense Base Act insurance and Public Liability Insurance covering all personnel and equipment. U.S.-registered companies may use Thailand-based subcontractors for local performance if qualifications and oversight are clearly documented. NAICS 561990; PSC R799.
