About this file

This is a Request for Quotation (RFQ) from the State of Maine for the procurement of yurts for Mount Blue State Park. The solicitation requests bids for two yurt sizes—20-foot or 24-foot diameter units—with the state indicating it will make an award for only one size based on price and delivery considerations. Each yurt must include specific features such as tall walls (approximately 7 feet), vinyl side covers with two windows, two doors, a snow and wind kit, insulation for roof and walls, a heavy-duty top cover with rain diverters, and a dome opener. The requested delivery date is no later than November 19, 2012. Bidders were required to submit questions through the designated Question and Answer link on the Solicitation Details View page, with responses posted for all vendors to view.

The quotation must include pricing for both yurt sizes with shipping and handling costs incorporated. The specifications are highly detailed and prescriptive, requiring materials such as kiln-dried Douglas fir wood framework, cedar stain, expandable lattice walls with aluminum rivets, machine stress-rated rafters, a laminated compression ring with through-bolts, a clear Douglas fir door with specific hardware (Yale lever 71-MC-3-SQ234), a bronze-tinted acrylic dome skylight, 1/4-inch aircraft-quality galvanized steel tension cable, and specialized fabrics meeting NFPA-701 flame resistance standards. The top cover fabric must be at least 28 ounces per square yard with a 15-year warranty, side cover fabric at least 17.5 ounces per square yard with a 5-year warranty, seven-layer reflective insulation liners, and specific window treatments with bug screens and weather flaps. The vendor was required to provide complete installation instructions, recommended platform construction plans, and technical telephone support.

All Wood Framework: Shall be kiln dried made only from stress rated Douglas fir. For engineered strength and desired aesthetics no substitutions of other species are allowed. All wood components to be sealed with Cedar Superdeck stain (1901) made by Duckback (or approved alternative).

Lattice Wall: Expandable, clear (knot free), kiln dried Douglas fir lath assembled with aluminum “pop” rivets and rivet caps. Back-up washers are not acceptable due to increased wear on materials. Fully expanded wall height to be approx. seven feet tall. Lattice wall to anchor to door frame with at least eight stainless steel plates. Lattice wall to anchor to platform on exterior for improved aesthetics and easier maintenance of floor.

Rafters: Select 2x4 Douglas fir machine stress rated for 2250-2500 pounds and notched to fit onto the main tension cable. 3/8 x 5 ¾ hardened steel pins to be inserted into rafter ends which fit into holes in the center ring. Rafters to be predrilled for screws, which once installed will prevent the tension cable from detaching from the rafter notch.

Center Ring: Laminated compression ring made from select structural 2x6 must be through-bolted (using 5/16 x 3 zinc chromate coated carriage bolts, 5/16 flat washers and 5/16 hex nuts) for additional strength. All hardware connecting dome to the center ring must bolt through the center ring (hardware that screws into center ring can loosen over time and is not acceptable).

Door & Frame: Clear Douglas fir wood door with vertical grain wood panel and acrylic window to be pre-hung in door frame. Door to include Yale lever 71-MC-3-SQ234 entry with lifetime warranty (warranty card to be included). Anodized aluminum threshold to be no taller than ½” in height for wheelchair access. Wood thresholds will not be accepted due to durability and maintenance. Hinges to be 3 ½ x 3 ½ (solid brass) mortised into door and jamb. Door to be 76” tall and 34.5 wide providing adequate clear opening for wheelchair access. Door to have aluminum door shoe with rubber weather strip.

Dome Skylight With Opener: One-piece construction, ¼ thick bronze tinted acrylic dome with built in flange and down turned edge that does not require a gasket. Dome to be made of only cell cast acrylic for improved durability. Dome skylight to fasten to the center ring with steel springs and a steel spindle allowing it to be opened for ventilation as needed. Aluminum bracket for dome opener must bolt through the compression ring (to prevent it from working loose over time). Steels springs that secure the dome skylight to the center ring are to attach to turned eyebolts secured through the center ring. Extension handle to be provided for opening/closing the dome skylight from floor level.

Tension Cable: Yurt to include 1/4" aircraft quality galvanized steel, 7000 lb. breaking strength. Precut to exact yurt circumference. Hook on one end and connections are to be swaged with aluminum ferrules (cable clamps are not acceptable).

Top Cover Fabric: Top cover fabric to be at least 28 oz. per square yard and include 15 year material manufacturer’s warranty (Duro-Last). Color to be confirmed. Fabric must meet or exceed flame resistance NFPA-701 (documentation to be provided).

Top Cover Construction: All overhead seams are to be electronically bonded. Top cover to have integrated valance made of the same 28 oz. fabric with 15 year warranty. Due to durability concerns valances that are sewn on and/or made from a lighter weight material are not acceptable. Rain diverter (inverted V shaped fabric pouch with PVC inserts) to be welded to top cover over each door. Top cover is to secure to door frame with at least five fasteners. Top cover to have an inner valance to provide a seal where the roof joins the wall. All grommets to be nickel plated brass for corrosion resistance.

Side Cover Fabric: Side cover fabric to be at least 17.5 oz. per square yard (Patio 500 -vinyl laminated polyester). Color to confirmed. Due to increased maintenance cotton containing fabrics will not be accepted. Fabric to have minimum 5 year material manufacturer’s warranty and meet or exceed flame resistance NFPA-701 (documentation to be provided).

Side Cover Construction: Vinyl side cover is to have only electronically bonded seams (no sewn seams). Side cover is to attach to the platform with #12 x 1” stainless steel wood screws through rolled rim spur grommets in the bottom of the side cover at minimum of 12” intervals. Side cover must anchor directly to the platform. Cinching below platform is not acceptable due to increased wear on the material. The side cover is to have an easy clip-on design (not laced). All grommets to be nickel plated brass for corrosion resistance.

Windows: Two large windows (54 wide x 45 tall) to be included. Windows to have sewn-in fiberglass bug screen framed in 2” polyester webbing and 2 wide black marine grade UV resistant polyester (un-napped) loop. Fully removable clear window coverings to be made of at least 20-mil UV resistant clear vinyl framed in 2” polyester webbing and 2” wide black marine grade UV resistant polyester hook (#81= 8 mil polyester filament with over 240 hooks per square inch). Windows to include weather flaps made of vinyl laminated polyester fabric which matches the side cover and include quick release buckles for securing them up or down in addition to #10 UV resistant zippers down the sides. Zipper (tape and teeth) to be fully protected from UV exposure. No zipper is to be along the bottom of window flap (to avoid catching debris).

Insulation Liners (roof and walls): Insulation to be seven layer reflective insulation (two layers of air bubbles, three layers of polyethylene two layers of aluminum foil) covered with flame retardant polyester fabric liner facing. Due to mildew and increased maintenance cotton containing liners will not be accepted. Wall insulation to have liner sewn to it, hemmed around all edges including window cut-outs and be made to fit the chosen window layout.

Snow & Wind Kit: Kit is to include select structural 2x4 Douglas fir (machine stress rated for 2250-2500 pounds) rafter supports (studs) for attachment to every rafter and floor with 2 x 4 steel plates and screws (two at top, two at bottom). Plates to have two coats of zinc chromate for corrosion resistance and screw holes that are offset. Pilot drill bit to be provided for pre-drilling screw holes. Each rafter support is to have two #8 x 1-7/8 Phillips screws securing the lattice wall to it. 1/8 aircraft quality galvanized steel cables are to zigzag through pre-drilled holes in the rafters (cable blocking) and pull in opposition. The cables distribute load forces so that rafters share loading.

Complete Instructions: Recommended platform construction plans, yurt installation instructions and technical support over the telephone to be provided.

Please place a bid for both sizes; we will be making an award for only one size taking in consideration of price and delivery. Delivery may be a factor in award, requested delivery date no later than November 19, 2012. Price needs to include Shipping & handling.
