About this file

This is a Documented Quote (DQ) solicitation from Western Colorado University (WCU) in Gunnison, Colorado, seeking charter bus services for their 2025 football team travel. The solicitation covers five specific away game trips between September and November 2025, each requiring two 56-passenger charter buses with restroom facilities. Trips include destinations such as Amarillo, TX; Alamosa, CO; Durango, CO; Rapid City, SD; and Chadron, NE. Bids are due on July 1, 2025, at 5:00 p.m. MST/MDST, with potential award to one or multiple vendors based on the most advantageous proposal.

The solicitation requires comprehensive insurance coverage, including commercial general liability ($1M per occurrence), worker's compensation, and automobile liability. Vendors must provide drivers with current Commercial Driver's Licenses and "passenger" endorsements. The university will provide lodging for drivers at overnight destinations and may provide meals. Pricing is expected to remain firm for all trips, with potential for bus size alternations if they better suit budget and space requirements. The contract prohibits subcontracting without university permission and mandates that any subcontractors meet the same insurance and licensing requirements. Bid evaluation will prioritize lowest overall cost, responsiveness to specifications, delivery dates, and overall value to the university.
