136 MSG/MSC

Micah Kruse Contract Execution Checklist 03 June 2015 The preferred locations shall be within 20 mile radius around JBER (99505), but not greater than 30 miles.

• The correct time is 0900-1600.

• We will need 2 separate rooms that can accommodate 40 participants. The adults and youth will be separated for this event.

The first room needs to accommodate 40 participants at round tables set up banquet style. There must also be room for rectangle vendor tables, room for staff and a space for the presenters. So while the 1085 isn't an absolute must have, the room for all the things I just mentioned is.We can be flexible on square footage, however, the room MUST be able to accommodate a certain number of people, tables in a specific configuration and all necessary a/v equipment. Unfortunately, I do not know how many people will be assigned to each room so cannot say what a minimum square footage would be.

The second room does not need a/v/ equipment.

Cell1: 1
Cell1: Can you please confirm the location you want to be? Do you only want to be in the Wasilla area or do you have a certain mile radius you can be from a location?
Cell1: 2
Cell1: • Items 1.4.1 and 5.2.4.1 say to provide services from 0900-1600. The SOW on page 12 lists 0800-1730. Which time frame is correct?
Cell1: 3
Cell1: • Do you indeed need 2 rooms for 40 people or is 1 room for 40 sufficient?
Cell1: 4
Cell1: is there any flexibility if a venue falls slightly below the stated 1,085 sq ft minimum?

For example, we’ve identified one location with a room measuring 1,083.5 sq ft, and another option with a room that’s 988 sq ft. Would either of these be acceptable, or would that disqualify both venues from consideration?”

Cell1: 5
Cell1: In Section 5.1.5, the PWS states that “conference rooms must have speakers, microphones and projection screens available for use in each conference room,” suggesting AV is required in both rooms.

However, Section 5.1.7.1 later states that “no additional tables or A/V support [are] needed in the second conference room.”

To ensure full compliance and avoid unnecessary cost, could you please confirm whether AV support is required in the second room as well or if AV is only needed in the main conference room?”
