Columbus, OH. 43235

SUBJECT: Request for Quote (RFQ) TITLE: YRRP Event, 14-15 August, Coshocton, OH Area

SOL#: W91364-25-Q-A054

Q1: The breakout rooms accommodate 75 each, and two of these are required (for 150 adults in total). Can we partition the General Session Area to create two breakout rooms?

A1: Yes, the General Session area can be partitioned into two breakout rooms.

Q2: Lunch is required for 250 adults on the 15th of August 2025: Can lunch be served in the General Session Area?

A2: Yes, lunch may be served in the General Session area.

Q3: The Exhibit Tables, which are 15 to 20, are not supposed to be inside the General Session Area, but away from it. The foyer already has the registration tables; can we place the Exhibit Tables there?

A3: Yes, if there is enough room for soldiers to move around and visit the providers.

Q4: Is the General Session Area going to be different from the Conference Room? If so, do you need all the following to be separate:

a) the General Session Area (275 adults)

b) the Conference Room (250) (separate from the General Session Area)

c) two Break-Out Rooms (75 each) (separate from the above two areas)

d) two Counselling Rooms (4 people each) (absolutely separate from the rest)

A4: The General Session Room is separate from the counseling rooms. General Session and breakouts can be the same. "Conference" and General session should be in the same space. Rooms intended for counseling need to be secluded to allow for a sense of privacy.

Q4: The general session is listed for 275 attendees, while catering service is specified for 250 guests. Could you confirm whether catering should cover all 275, or if the additional seats are reserved for vendors or non-meal attendees?

A4: Yes, catering service is for 250 guests. 275 guests is listed to ensure adequate space is provided in the General Session room.
