About this file
This is a Questions and Answers document for solicitation W912JC25QA009, which appears to be for lodging accommodations for Kansas National Guard (KSNG) personnel during drill weekends and training activities. The requirement involves an estimated 109 double occupancy rooms per night, primarily needed for drill weekends that typically occur on the first weekend of each month (Friday-Saturday or sometimes Thursday-Saturday depending on soldier travel distance). The accommodations will serve two armory locations in Wichita, Kansas: 2808 N New York Ave (67219) and 3617 S Seneca (67217).
Key operational details include a 30-day advance notice window for room requests, with cancellation or increase notifications provided within 3 days of service. The government will pay allowable government rates, and invoices will be processed through the WAWF system. The solicitation allows for subcontracting arrangements where contractors can partner with hotels. Since this is a new requirement with no historical data, vendors may leave future option years as "To Be Determined" on pricing sheets. Incidentals cannot be covered by individual guest credit cards; any incidentals must be reported immediately to the unit POC for government processing. The government may award multiple BPAs depending on the number of qualified vendor quotes received, and complimentary parking requirements depend on hotel location and standard room inclusions.

Q7.Do you anticipate awarding multiple BPAs, or are you seeking a single contractor for multiple locations?
A:Possible, It depends on how many qualified vendors quotes are received

Are you requesting max pricing per year and then we will submit actual pricing when we are working on each task order?
A:Allowable govt rate
Q9.Could you please provide the full street address (including zip code, city, and state) for the armory ?
A: 2808 N New York Ave Wichita Ks 67219 and 3617 S Seneca Wichita KS 67217

Q11.My question is what is the window of time KSNG will give the contractor when requesting rooms?
A:30 days
Q12.For cancellation or increases you will notify the contractor within 3 days of service.

A:Yes
Q14. Historical data from previous BPA?
A: This is a new requirement/new award
Q15.Given that most hotels are only willing to commit to rates one to two years in advance, would it be acceptable to leave the remaining option years on the pricing sheet blank, or mark them as 'To Be Determined'?
A:This is up to the vendor submitting a proposal
Q16.Would it be possible for each guest to provide their own credit card at check-in to cover any potential incidentals? If that's not possible, could you please clarify how incidents will be covered?
A:No, if any incidentals are incurred notify the unit POC immediately and procedures/steps will be taken to cover those at that point
Q17.Will invoices be processed through the WAWF system?
A:Yes
Q18.Does access to rooms need to be from the interior of the hotel or can we submit hotels with exterior room entrances?
A:I don’t see that stated in the PWS so I would say No
