Maintenance & Cleaning Kitchen Exhaust Systems

Questions & Answers June 2, 2022

Vendor Questions Government Responses

1. Due to the German holidays and the unavailability of supplier/vendor personnel to obtain adequate pricing, Offerors request the Government extend the proposal by 1 week.

Date for receipt of quotes is extended to 21 Jun 2022, 0900 hours Central European Time. See Amendment 0001.

2. The recency criteria identified in the Instruction to Offerors (page 41 of 66), Evaluation (page 45 of 66), and Reference Information Sheet are incongruent.

Request the Government advise if “recency” should be efforts that are complete or ongoing during the past 3or 5 years prior to the issue date of the solicitation?

The pertinent paragraph in FAR 52.212-2 and the Reference Information Sheet has been revised to clarify recency is within the last three (3) years. This also is in line with the Addendum to FAR 52.212-1.

See Amendment 0001.

3. Do the exhaust air ducts also require cleaning? If so, please provide the dimensions of the ducts (cross-section and length).

Yes, as stated in Performance Work Statement (PWS) para 5.2.1 a:

“All parts of the kitchen exhaust systems, exhaust ducts or pipes, filters, fans, Pagula ceilings etc. shall be cleaned on the interior and exterior with biodegradable detergents”

Dimensions are included in updated Exhibit C Inventory List. See Amendment 0001.

4. Please confirm if the exhaust fans will also require cleaning?

If so, are Offerors only required to clean the exhaust fans or will we also be required to clean the supply fan, including the fan chamber?

Confirmed, as stated in PWS para 5.2.1 a:

5. Please confirm if the technical maintenance operations is to be carried out in accordance with the cleaning cycle (Exhibit D).

7. Could you explain what kind of maintenance will need to be done apart from cleaning?

See PWS para 5.

8. Is it possible to send a photo of one random exhaust hood which need to be maintained and cleaned?
