STATEMENT OF WORK
Fort Bragg, North Carolina
1. Background: The has a requirement to facilitate their Soldiers’ and their immediate family members in the Reintegration program scheduled through the Chaplain’s Take care of our Soldiers, Civilians and Families. This is accomplished through the Building Strong, Ready, and Resilient Families Training Program.
This program aims to build sustained readiness through events that strengthen relationships and promote healthy and resilient interpersonal relationships for Soldiers and dependents.
2. Objective: The Contractor will provide Hotel Rooms, Conference Facilities and Meals within five (5) miles of Concord/Charlotte, North Carolina for one (1) anticipated three (3) days Family Resilience Training. The anticipated training will take place 28 September 2018 through 30 September 2018. The Contractor provided Hotel Rooms and Conference Facilities will meet the following specifications:
a. Hotel Rooms: The Contractor provided hotel rooms for the three day conference that will meet the following specifications:
• Contractor will provide fifty (50) hotel suites. Each suites will be equipped with private bathroom, telephone, television set, refrigerator, and at least two (2) queen size beds for the couples and children.
• The contracted hotel will offer Parking, Fitness Room Facilities, In-room coffee maker and refrigerator, and Free Wi-Fi Internet access. Hotel will have a pool for family oriented recreational activities. Hotel will be located near family oriented recreational activities.
• Hotel Facilities must be located in a clean and safe neighborhood free of crime and community businesses (i.e. Gentleman’s Clubs) that can be considered inappropriate for families and children. Hotel facilities need to have an adult/kid activity or entertainment on-
b. Conference Room Facilities: The Contractor will provide one (1) conference room with a tables and seating for fifty (50) couples for Family Resiliency Training and three (3) separate rooms for childcare purposes for one (1) (Saturday) day of the event. The provided rooms will meet the following specifications:
• Conference Room: The conference room, one (1) each, will be furnished with round tables arranged to accommodate approximately three (3) couples per table. Conference room must be provided for all three (3) conference days. Conference Room must have Audio Visual Capability for all three (3) conference days as follows:
o Audio-visual capacity to display video and Power Point presentations o One (1) Projection Screen o One (1) Podium Microphone o One (1) Wireless Microphone o One (1) Table or cart for placing projector.
o Two (2) AC Power Strips o Wireless Internet Connection
c. Childcare: The resort will provide childcare services on 29 September 2018 from 0830-2:30 pm (Saturday) providing the following amenities and supplies.
• Childcare Room: The resort will have rooms separate from the conference room to accommodate childcare and childcare workers to run an on-site childcare program for approximately sixty-seven (67) children ranging in the ages from 0-12 years old.
Child-care room must be provided for one (1) conference day, Saturday.
o Child Room will be equipped for Youth Activities to accommodate all ages between
0- 12 years old, and have up to a forty (40) person capacity. Room will have four (4) tables with eight (8) chairs per table; and an additional 20 chairs available if needed.
Child care room must be equipped Audio and Video Capabilities on at least two (2) separate screens to play movies from DVD and Blu-ray format.
o The two provided rooms will be located in the same building the meeting facility as childcare room(s).
o Childcare will be provide starting at 8:30 AM to 2:30 PM on 29 September 2018.
d. Meals: Hotel will have Dining Facilities located in the same building as the Conference Room facilities. The Dining Facilities will provide meals for all three (3) days as follows:
• Day 1- Contractor will provide the following meals:
o Hot Dinner meal (with protein, vegetable and starch) with beverages for approximately one hundred (100) adults and forty (67) children. Dinner will be served from 5:30 PM -
6:30 PM.
• Day 2- Contractor will provide the following meals:
o Hot Breakfast meal (with protein, vegetable and starch) with beverages for approximately one hundred (100) adults and forty (67) children. Breakfast will be served from 7:30 AM -8:45 AM.
o Hot Lunch meal with beverages for approximately one hundred (100) adults and forty
(67) children. Lunch will be served between 12:15 am to 1:15 pm.
o Hot Dinner meal(with protein, vegetable and starch)with beverages for approximately one hundred (100) adults and forty (67) children.
Day 3- Contractor will provide the following meals:
o Hot Breakfast meal (with protein, vegetable and starch) with beverages for approximately one hundred (100) adults and forty (67) children. Breakfast will be served from 7:30 AM -8:45 AM.
Notes:
Conference and Childcare areas will be made available and set up no later than 8:30 AM on Saturday, and remain available until 3:00 PM on Saturday. Checkout will be at 1:00 PM on Sunday. The breakout/childcare room set-up by the childcare providers will start the morning of 29 September 2018. Vendor will provide a complete breakdown of the overall cost for this requirement. See attachment 1 that gives an example of how the cost should be broken down line by line.

Notes:
Conference and Childcare areas will be made available and set up no later than 8:30 AM on Saturday, and remain available until 3:00 PM on Saturday. Checkout will be no earlier than 11:30 AM on Sunday. The breakout/childcare room set-up by the childcare providers will start the morning of Saturday. Beverages and snacks provided require, at minimum, water and coffee.
Vendor will provide a complete breakdown of the overall cost for this requirement.
