About this file

This document is a Questions & Answers (Q&A) amendment for solicitation W911N2-26-Q-A014, primarily addressing Kardex maintenance and relocation services for storage/retrieval equipment at Letterkenny Army Depot. The key details include serial number corrections for vertical carousels and vertical lift modules, clarification on preventive maintenance for older NT-series machines, and confirmation that relocation services will be performed using Time & Materials (T&M) CLINs.

The U.S. Government granted an extension for quote submissions, with the new deadline set for 11:59 p.m. on 14 Dec 2025. Specific building locations for the equipment will be provided at the time of award. The government maintained that the original solicitation and Performance Work Statement (PWS) requirements remain unchanged, directing vendors to provide their best quotes to meet the existing requirements and appropriately price the corresponding Contract Line Items (CLINs).

W911N2-26-Q-A014 Amendment 0001 Questions & Answers

Following Industry Questions and Government (USG) Answers:

1. Question: Serial number corrections

Kardex identified several serial numbers in Appendix I that differ from their factory records.

Can you confirm whether we should proceed using the corrected serial numbers they provided, or keep the list as originally issued?

USG Response: See updated PWS.

2. Question: Additional units not listed in the PWS

Kardex’s records show several additional machines installed at Letterkenny that do not appear in the current equipment list. Would you like these added to the scope or should we limit our proposal to the units listed in the solicitation?

USG Response: No additional scope, solicitation and PWS requirements remains as stated.

3. Question: Obsolete NT-series machines

Kardex advised that certain older NT units cannot be placed under a preventive maintenance contract, but they can still support repairs. Please advise how you would like these handled within the PM and repair CLINs.

USG Response: Requirements remains as stated, preventive maintenance is still required on those units. Vendors are advised to provide their best quotes to meet the requirements of the PWS and appropriately price the corresponding CLINs.

4. Question: Relocation services

Kardex indicated that relocation work is handled separately from standard maintenance.

The current PWS includes relocation. Should this requirement remain as written or be separated?

USG Response: The current requirement remains as written and relocations are not part of preventive maintenance. Relocations would be performed using the T&M

CLIN’s. The CLIN’s have been revised to clearly indicate which requirements relate to which CLIN.

5. Question: Building locations

Kardex requested the building locations for each unit. If available, can you provide this information?”

USG Response: Specific building locations will be provided at time of award.

6. Question: Because these clarifications directly affect scope and pricing, we respectfully request a short extension to the proposal deadline so we can finalize an accurate and complete response once we receive your direction.

USG Response: Yes, extension granted. Please provide quotes no later than 11:59 p.m.

on 14 Dec 2025.

7. Question: We are in discussion with our vendor that is a professional and adequate company that are able to provide excellent services to the contract. However we would need more time as updates needed to be able to complete our quote. Is it possible to extend the due date?

USG Response: Yes, extension granted. Please provide quotes no later than 11:59 p.m.

on 14 Dec 2025.

8. Question: Some of the Kardex serial numbers were a bit off and will need updated. I am assuming all these are at 1 Overcash Ave. We will need the building locations for each serail number as well.
