1. How many nights per weekend? Typically 2 nights.
2. Will the weekend begin on Friday? Most of the time, yes.
3. Will advance notice be given for required dates each month?
Yes, the selected vendor will get a schedule of the drill weekends.
4. I see your first date needs are February 3 and 4. For the other dates you need, I understand you don't have those yet. Would that just be based upon availability on our end when you get those dates?
We have predetermined dates for our lodging requests. We would need assurance that lodging will be available during those weekends.
5. When will you know your other date needs and what is your expectation for us to hold those rooms?
We already have the dates for our future drill weekends. For holding rooms, please see answer to next question.
6. What would be your expected cut-off date for each weekend?
This is our current process for requesting lodging that seems to work. The Friday following drill weekend, a list of names for lodging is submitted to the vendor for the following drill weekend.
10 days before the scheduled drill weekend, a second email, with a list of names and adjustments is provided. This first email is to help with expected amount of rooms and the second email is for adjustments.
7. I see you may need 110-140 rooms each time, are you going to be splitting that between hotels or would you like one exclusive hotel?
Actually we have 50-70 members who require lodging that will come to 110 to 140 nights of lodging. The amount of rooms will vary since there are double (two members to one room) and single rooms requested. It is also the 119th WG's policy that members will be split up to at least three hotels. So no, we cannot use only one hotel for lodging.
8. Do we need to agree to 1 rate for the entire year or could it be based upon availability?
A predetermined rate has to be established for one year and the lodging rate shall be at or below the Federal Government's local per diem rate. However, if the price changes resulting in an increase, it has to have written approval from the Contracting Officer. Pricing may decrease at any time without approval.
9. Is check in Saturday for 1 night?
Check in will be the Friday as some guard members may have a long drive and the duty days starts at 7:30 am on Saturday. So typically it will be 2 nights.
10. Has a contractor performed similar work to this for the government in the past? If available, please provide the incumbent contract number.
Yes, we do have a current agreement that performs similar work to what we are soliciting for.
The Blanket Purchase Agreement number is W901UZ-17-A-0001.
11. Can you provide dates for the year so we can check availability?
Here are the dates of the scheduled drill weekends:
Year 2018:
Feb 3-4 Mar 3-4 Apr 7-8 May 19-20 Jun 7-10 July: No drill scheduled Aug: 4-5 Sep: 8-9 Oct: 6-7 Nov: 3-4 Dec: 1-2
12. Is the contract for the entire year or could we select dates?
The contractor shall provide lodging upon request by the 119th WG for members on UTA weekends and members on UTA status outside of the primary UTA weekends throughout the entire year. Therefore, contractors cannot select dates as this will be an unfair advantage to other contractors who also want to provide quotes to meet our requirements.
