Questions & Answers – Lodging Accommodations, W50S99-23-Q-1101:
1. Is there an estimated quantity of rooms needed per drill session? Please refer to the Price Cost
Schedule for estimated annual quantity. The quantity of rooms needed for drill session are based upon the requested reservations we receive from our members – estimated average of 20 rooms.
2. What is meant by "statement of delivery time" (section N under General Information and Quote
Format)? Please disregard “statement of delivery time” since this is referring to product/ equipment delivery. This requirement does not involve shipment of products.
3. Does the per diem rate apply to this solicitation? Yes, the per diem rate does apply.
4. When the Air National Guard travels, is it typically for weekend trainings? This requirement is for specific training weekends and potential periods throughout the month
5. Are you looking for an “under” Per Diem rate? The per diem rate does apply
6. Do I need to include my fire inspection reports, elevator inspection reports with my initial hotel bid?
Per the combined synopsis/solicitation, please include current reports.
7. If I place rates for the years 2024-2028 now, are they set in stone? Just curious as PerDiem is only issued in October of each year. The Government intends to award a firm-fixed price contract.
8. If we are accepted on our bid but then don’t have availability over a specific time Air National Guard needs rooms, would this be a problem? The Government understands the basis of not having rooms available during a specified time. However, we do intend to provide a schedule in advance and request rooms in a reasonable time to allow the hotel to accommodate our request.
9. Is this for transient needs or group needs mainly? The room request will mainly be for groups.
10. Does lodging have to stay in the State of TN or can it go into MS or AR? Lodging does not have to stay in Tennessee. A quote for lodging located in Mississippi and Arkansas is acceptable. Per the
Performance work Statement (PWS), Contract Quarters must be within an area no less than 5 miles and no greater than 33 miles from the 164th Airlift Wing, Air National Guard Unit located on 4593 Swinnea
Rd. Memphis, TN 38118.
11. Will a tax-exempt form be provided? If required, the Government can provide a tax-exempt form upon request.
12. Is complimentary breakfast required? It’s preferred but not required.
13. Is the quote for optional years permanent once a bid is submitted? Some hotels are hesitant to give quotes longer than two years. The Government intends to award a firm-fixed price contract. If you cannot quote all items requested in this RFQ, please submit quote on what you can provide, as it may be considered if government determines best for the government, however it's the government's intent to award to a vendor who can provide all that is requested.
14. Are we able to requote the optional years after the completion of the base year? The Government intends to award a firm-fixed price contract. The Government will evaluate offers for award purposes by adding the total price for all options to the total price for the basic requirement.
