Questions and Answers
BUDGET QUESTIONS
Question:
• If you can provide a range or budget cap that would be helpful in our cost proposal.
• What is NMAH’s budget for 1 year of services (4 events) for the Speaker Series?
• Under section “C.2 Scope of Work, item 3” – page 11, you state the need to remain within NMAH’s established budgets for the events. Are you able to share that budget with us?
Answer:
We cannot supply a range or full budget cap for the entire program at this time. We don’t expect contractor services for each program to exceed more than $35,000, or $140,000 annually. This figure includes both audience development and event management fees, which for the purposes of the pricing portion of your proposal, should be broken out into two separate itemized budgets/bids if you plan to bid on both.
Question:
• When you ask for a complete accounting of all costs for the 4 events, I presume that will include Artist fee or Speaker's fee. Who will program the event and negotiate fees? Shall I include an estimate of what this type of speaker might charge? Obviously this is extremely variable. For selecting programming, booking, contracting and paying artist fee and travel for speakers, is that work part of the scope of this work?
Answer:
Contractor will be responsible for programming, booking, contracting and paying a small honorarium and travel for speakers out of the above mentioned budget. Your proposed itemized budget/bids should only include the services that you will provide. Under “event management”, the contractor, working closely with Smithsonian staff, will program the event and negotiate fees.
DONOR INFO QUESTIONS
• The RFP mentions attendees would be current and prospective donors. What is the size of the current donor list?
Answer:
The Museum’s current donor list is 200-250.
PRODUCTION_QUESTIONS
• Are we creating the graphics/look for the event for the mailings and promotion?
Yes, creation of graphics/look for the event and mailings and promotion should be included.
EVENT QUESTIONS
• In regards to the gift bag, will they provide the gift and bag or do they need our ideas?
Cost of gift bag is included in budget. Yes, ideas on gift/bag are included in “event management.” Again, your proposed pricing should only include the services that you will provide.
OTHER QUESTIONS
• I have a question about the Combined Synopsis/Solicitation posted to FBO under solicitation number
T15SOL10056. Is this a follow-on requirement? If so, could you please provide the incumbent contract number for this opportunity? If not, is this a new requirement?
As this is a new project, there is no incumbent. This is a new requirement.
