STATEMENT OF WORK

1. Objective/Requirements This work provides for the development and execution of ICESat-2 Hackweek activities. Two activities will be conducted: (1) a five-day Developers’ Hackweek event (in August 2025) and (2) a 1.5-day User Workshop (in May 2025, concurrent with an ICESat-2 Science Team Meeting.

2. Characteristics, Scope, and Specs

The contractor shall perform the following duties for each activity:

User Workshop Partnering with members of the ICESat-2 Science Team to select an upcoming community gathering that would benefit from the inclusion of a User Workshop; or, design a 1.5 day User Workshop to be offered remotely during 2025;

Facilitating event planning calls by preparing agendas, taking notes, and setting project deadlines;

Creating and distributing the communication tools needed for event coordination (Slack, Google Drive, GitHub, etc.);

Surveying workshop participants on their competencies and data science educational needs;

Facilitating the development of a team (to include a mix of eScience Institute staff, ICESat-2 researchers and NASA data technicians and managers) who will deliver tutorial content in response to participant needs;

Setting up and maintaining meeting technologies to accommodate participation (zoom, audio/visual equipment);

Tracking overall budget expenditures;

Highlighting the importance of the event code of conduct and taking any necessary steps to address violations;

Facilitating group activities to foster community building and networking;

Guiding the overall delivery of the User Workshop.

Developers’ Hackweek

Overseeing the assembly of an organizing/planning team that includes both Institute and ICESat-2 research community members;

Facilitating event planning calls by preparing agendas, taking notes, and setting project deadlines;

Guiding the organizing team in clarifying overall event goals and expected outcomes;

Creating and distributing the communication tools needed for event coordination

(Slack, Google Drive, GitHub, etc.);

Selecting a cohort of participants to be invited to the hackweek; sending invitations and coordinating responses;

ICESat-2 2025, University of Washington, eScience Institute;

Serving as the primary point of contact for communications between participants and the organizing committee and guiding participants through the hackweek onboarding process;

Setting up the event meeting space and assisting in providing lodging and food/snacks (in-person event);

Assisting event participants in making travel arrangements (in-person event);

Setting up and maintaining meeting technologies to accommodate hackweek participation (zoom, audio/visual equipment);

Tracking overall budget expenditures;

Coordinating with participants to guide project team formation on Slack;

Hosting a 90 minute Zoom call to offer guidance on project team technical tools and help teams be ready for the hackweek collaboration;

Highlighting the importance of the event code of conduct and taking any necessary steps to address violations;

Facilitating group activities to foster community building and networking;

Guiding the formation of hacking teams and helping people get connected with a project that fits for them;

Providing instruction and consultation on technical questions as agreed for specific events;

Providing support for lodging and meals;

Embedding within project teams to help set goals and follow software industry standards for code development, such as team standups, use of Kanban boards, defining GitHub issues, etc.;

Helping people to troubleshoot technical challenges through impromptu office hours;

Connecting participants with eScience Institute technical resources.

Post-event reviews

Facilitating a debrief with the organizing teams and assembling feedback and recommendations for the future;

Inviting participants to join a focus group to provide additional feedback;

Analyzing all survey data, creating graphics and summary documents, and providing these as reports back to the funding agency;

Issuing a longitudinal survey to participants 6 months after each event;

Preparing a report or whitepaper that outlines the conclusions reached by attendees and presents recommendations and a path forward for tooling, cloud computing platforms, etc.
