Performance of Work Statement
DESCRIPTION OF REQUIREMENTS
Naval Aviation Safety Summit 2024
1.0 INTRODUCTION
The purpose of the Naval Aviation Safety Summit is bring safety, aircraft handling, and maintenance leaders together from across the Naval Aviation Enterprise. This Summit will provide professional development opportunities to our Naval Aviators through presentations by Naval and industry safety leaders and a flag panel. CVN, Wing, and squadron safety, maintenance and quality assurance personnel will gather to discuss the Naval Aviation Mishap Prevention Campaign, and innovate how we identify, understand, elevate, and solve problems to manage risk better while operating safely and effectively in our dynamic environments.
To support this event, the COMMANDER NAVAL AIR FORCES (CNAF) requires a conference facility that can support a meeting space for up to 600 participants, the use of audio-visual equipment for presentations, and adequate parking for up to 200 vehicles in Jacksonville, FL, for the entirety of the conference, beginning at 0700, 4 June 2024 to 1800, 5 June 2024.
2.0 REQUIREMENTS
a. Conference facility shall be in Jacksonville, FL.
b. Conference facility shall accommodate parking for up to 200 vehicles for attendees.
c. An Introductory Meeting shall be held at the conference site on 3 June 2024 at 12:00, or earlier if conference facility is able, between the conference facility management and government conference leads. This meeting will provide an opportunity for government conference leads to inspect the conference rooms, provide the opportunity for any needed configuration changes and time to setup the government’s audio/visual equipment.
d. Conference facility shall provide two (2) indoor conference meeting room spaces and a registration area as described below. These spaces shall have a working climate control that is able to maintain a temperature between 68 - 75 degrees Fahrenheit. These spaces will need to be accessible to conference attendees from 0700 to 1800, 4-5 June 2024.
e. Conference configuration:
i. Conference facility shall provide one (1) conference space (main conference room) that can accommodate tables and chairs for up to 600 participants. Conference facility shall provide tables & chairs and configure them in a “classroom” style setup for both conference days. Once the “classroom” configuration is approved at the Introductory Meeting, no other configuration changes are anticipated.
ii. Conference facility shall provide one (1) executive room with tables and seating (break area/lounge) for a minimum of 10 participants, accessible electrical outlets, and located in close proximity to the main conference room.
iii. One (1) registration area to be setup in close proximity to the entrance of the main conference room with tables and chairs to accommodate up to 10 personnel and with access to electrical outlets for laptop computers.
f. Conference facility shall provide a minimum of 5 wireless Internet connections in meeting spaces with speeds/bandwidth capable of supporting internet video connection/presentations.
g. Audio/Visual (A/V) equipment and support for the entire period of the conference will be provided by the government.
h. Although this PWS does NOT include sleeping rooms, due to the nature of this requirement, the conference facility shall adjoin sleeping rooms that have the capacity to accommodate up to 600 attendees.
