Suwannee River Water Management District Janitorial Services RFP 26/27-003
Questions
1. Section 6 of the RFP requires proposers to provide an hourly rate for "Additional
Requests." However, the RFP does not define the scope of services included under this category.
Could the District please clarify what types of work or services are considered "Additional Requests"? Additionally, are these services expected to be scheduled in advance, or is there an anticipated response time that proposers should consider when establishing the hourly rate?
• Carpet cleaning from accidental spills.
• Dust or other minor debris from any construction projects. Not projected and there would be expected debris and dust mitigation by the building contractor to minimize this.
• Air conditioning condensate or plumbing overflow or other facility maladies that may introduce additional debris or water intrusion.
2. On page 2. Bidder Qualifications: Bidders shall be bonded, licensed, and insured. What will it need a bid bond or a performance bond?
• Many of our contracts require the contractor to be bonded. Although the RFP states that a bond is required, a bond will not be required under this contract.
3. Regarding Bidder Qualifications, The solicitation states that bidders shall be bonded. However, the solicitation does not identify any Bid Bond, Performance Bond, or Payment Bond requirements. Can the District confirm whether any type of bonding is required for this solicitation? If so, please specify the type and amount required.
• Many of our contracts require the contractor to be bonded. Although the RFP states that a bond is required, a bond will not be required under this contract.
4. My question is, does the bidders have to pay to obtain access in order to place a bid for this contract? Please let me know so that I will know what to do next please
• There is no payment required by the District to obtain access to submit a proposal. There are costs associated with the Bond, worker’s comp insurance, vehicle liability insurance, and general liability insurance as stated in the Request for Proposal. These are all expenses that would be incurred prior to entering a contract with SRWMD.
5. What was the previous contracted price please?
• See attached contract.

• See current contract provided.

• Standard Nightly Cleaning Service (3 days per week) – 15 glass exterior entry door units to be cleaned inside and outside nightly.
• Suwannee Room is to have all windows (24 total) cleaned inside and outside the Monday before the Governor’s Board Meeting. Typically, September is the only month that may interfere with Governing Board preparation as Labor Day may fall on the Monday prior to the second Tuesday. The Tuesday cleaning service following the Governing Board Meeting would take place as normally scheduled, but starting later than normal. September Governing Board meetings are separately scheduled due to the special Board Meeting that month.

14. The schedule shows for Monday, Tuesday, Wednesday, and Friday cleaning respectively. On holidays that fall on that particular day does the contract come in on the following open day for cleaning? For example if a holiday fell on a Wednesday, would the staff come in on a Thursday to clean?
• Weekly Service is Monday, Wednesday and Friday.
• Additionally, the second Tuesday of each month (except holidays) is an additional contracted cleaning service day for the Suwannee and Santa Fe Rooms after the monthly Governor’s Board Meetings.
• In September the start time may be later – 6:30 PM
• For scheduled holidays that fall on regular service days, there will be a prearranged adjustment to the cleaning schedule.
• SRWMD observes New Year’s Day, MLK Day, Memorial Day, Independence Day, Labor Day, Veteran’s Day, Thanksgiving Day and the following Friday, and Christmas Day. Should these holidays fall on a weekend, the observed day will be planned and communicated in advance accordingly.
