The overall height of the unit shall be no taller than 55in with the mail slots (sortation bins) at an ergonomic height. The base must have casters to allow ease of movement and accessibility. The printer, feed drawers, cabinet/casters, and accessories must perform in an industrial environment.
2. Paper Handling: The printer shall be able to work with Letter size and A4 size documents. The printer shall be able to function using 20lb paper with the Government mandated 30% recycled content. The printer shall be able to duplex print.
3. Hardware: The printer must have the ability for a standard, >500 sheet feed drawer and at least one high capacity, >2000 sheet feed drawer. The printer shall have built-in (or compatible accessories) for a minimum of 4 Mail Slots to separate multiple print jobs. The printer shall have the ability to assign a static IP address that will be maintained when powered off and restarted. The printer shall have hardware connections for USB or ethernet.
4. General: The printer shall print in black and white at a minimum of 60ppm. The monthly duty cycle shall be >60,000 prints and have a lifecycle of a minimum of three years with a minimum one-year warranty.
5. Current Edition: The printer and accessories should be a current model not slated for planned obsolescence. Outdated, discontinued, or end of production discounted models will not be accepted.
Evaluation/Trial: Prior to award, the Government requires the ability to test any equivalent printer and accessories at each of the intended applications to ensure compatibility with current paper and connected equipment. Prospective vendors will coordinate with the Contracting Officer and local CMOP POC to schedule the on-site trial. The entire unit (printer and accessories) shall be evaluated for the trial over the period of one week each at the two station types. Vendors will need to provide printer consumables (toner, waste toner, not paper) for an anticipated 50,000 prints. Once a successful test is completed and evaluation made, the Government will make an award.
Delivery: Post-award, the Government shall accept delivery of printers when they are fully assembled and ready for use. Once accepted, the Government intends to replace the existing Government owned printers with the new printers. Due to the nature of shipping, the Government understands that printers may need to be assembled at the delivery site. The Government will provide the space necessary for the contractor to stage, assemble, and test the printers. This space will not exceed 1000 square feet. The contractor shall provide the printer serial numbers for each delivery phase by e-mail to the Contracting Officers Representative prior to delivery as well as on the Bill of Lading at delivery. Delivery of the printers shall occur in three phases. This is due to the quantity of printers required and the space available. The contractor shall deliver printers successively for acceptance. The first delivery shall consist of 20 units, the next 25, and the final delivery 25. Upon successive acceptance of the printers, the Government will remove the old printers and install the new ones. This is necessary for the Government to provide an orderly removal, disposal, and replacement of printers within the space available.
Hours of Operation: The site will accept delivery of the equipment Monday through Friday, 7:00 AM to 2:00 PM with the exception of Federal Holidays. Vendor personnel will be required to sign-in at the Security Office and be escorted whenever they are on-site. Delivery drivers will not need to sign-in and will coordinate with CMOP personnel the receipt of equipment and paperwork.
Security: The C&A requirements do not apply, and a Security Accreditation Package is not required.
