About this file

This is a Seller Checklist for Small Order Purchases issued by the City of Philadelphia Procurement Department through the PHLContracts platform. The document provides guidance for vendors responding to a small order purchase for Eaton UPS one-time preventative maintenance services covering five UPS units. The procurement will be awarded as a whole or by line item, at the City's discretion, to the lowest responsive and responsible bidder. Vendors must quote all items to be eligible for award consideration. No specific response deadline, due date, site visit, bidder's conference, or award date is provided in the checklist document itself.

The checklist outlines the required steps for completing and submitting a quote through the PHLContracts portal, including selecting the appropriate seller role, answering mandatory questions regarding Local Business Entity (LBE) certification status, entering unit costs for each listed item, accepting terms and conditions, and submitting required attachments. All vendors must provide an executed Consent & Authorization form as a prerequisite for quote consideration. The document indicates that the LBE Program does not apply to this small order purchase category, though the certification question must be answered to proceed. Vendors are permitted to submit an optional LGBTQ Applicant Opportunity Data Form and may attach additional supporting documentation related to their quote. The procurement is issued by the City of Philadelphia in Pennsylvania.
