About this file
This is a Seller Standard Operating Procedure (SOP) Checklist document for a micro purchase contract opportunity issued by the Commonwealth of Pennsylvania for a 20-foot by 8-foot storage cargo container rental. The checklist outlines the procedural requirements and compliance standards that the successful bidder must follow throughout the contract execution and performance period. The document serves as an operational framework to ensure that the awarded vendor adheres to all state and local requirements, maintains proper documentation, and fulfills contractual obligations. The contract is structured as a requirements contract, meaning the actual quantities and delivery schedules will be determined based on the purchasing agency's needs throughout the contract term, with the vendor obligated to fulfill requests at the quoted rates.
The SOP Checklist emphasizes that the successful bidder must be prepared to respond to invoicing requirements, maintain accurate records, provide timely services upon notification, and comply with all Pennsylvania state procurement regulations. As a micro purchase award going to the lowest responsive and responsible bidder, the vendor must have submitted quotes for all line items to be eligible. The document underscores that no delivery or services should commence until official written notification is received from the purchasing department, and all vendor activities must align with the specific procedures outlined in the checklist to maintain compliance and contract standing.
