About this file
This document is a Seller Checklist for Small Purchases issued by the City of Philadelphia Procurement Department through the PHLContracts platform, providing step-by-step guidance for vendors submitting quotes on a body cameras micro purchase opportunity in Pennsylvania. The procurement involves a micro purchase that will be awarded as a whole or by line item, whichever serves the City's best interest, to the lowest responsive and responsible bidder. Sellers must quote all items to be eligible for award and should not deliver products or services until formally notified by the department. This procurement will result in a Requirements contract.
The checklist outlines thirteen critical steps vendors must complete to submit a compliant quote, including confirming seller role status, selecting Local Business Entity (LBE) certification status, entering unit costs for each listed item, answering all mandatory questions, downloading and accepting terms and conditions, and submitting required attachments. A executed Consent & Authorization form must be on file or attached in the Attachments Tab, and no quote will be considered without this documentation. Vendors have the option to submit an LGBTQ Applicant Opportunity Data Form and may attach additional documents related to their quote. The submission process requires vendors to review their complete quote on the Summary Tab, address any red validation warnings, and submit through the PHLContracts platform at www.PHLContracts.phila.gov, with vendors instructed to click "Save & Continue" on every tab throughout the process.
