About this file

This file is a seller checklist document provided by the City of Philadelphia Procurement Department for vendors submitting quotes through the PHLContracts platform for the Quality System International Renewal software program. The checklist outlines a 12-step process that vendors must follow to complete and submit their software quotes, including navigating to the correct seller role, completing all required tabs (General, Items, Questions, Terms & Conditions, and Attachments), and addressing validation warnings before final submission. Vendors must confirm their business status, enter unit costs and any applicable discounts for listed items, answer all mandatory questions, accept the terms and conditions of the bid, and upload any required supporting documentation through the platform.

The procurement is limited to the City's current software vendors unless otherwise specified in Section A of the contract, and vendors are required to submit product literature upon request from the City. The checklist emphasizes that the Local Business Entity (LBE) Program does not apply to this software program, though vendors must still answer the LBE certification question to proceed with their quote submission. All steps require vendors to click "Save & Continue" on every tab to ensure proper documentation and to clear red validation messages before the quote can be submitted through the PHLContracts portal.
