Statement OF Work (SOW)

Cloud Storage

Non-Personal services to implement and maintain a Custom-Configured (using agency tailored) Cloud

Based Operations Readiness and Logistics Management System for Fire Department use consisting of six modules that automate vehicle, equipment, and inventory checks. Custom Configuration is a MUST -

NOT a “boilerplate template” approach. The cloud-based system must be usable with any device – phone, tablet, computer, tough book – and any operating system, so our agency can continue to use our existing hardware. All data is shall be stored in the cloud, not on the devices themselves, to ensure the data is always safe. System must be capable of having multiple crew members use the system to complete checks at the same time, meaning that 3 or 4 person crews can work together as a team to complete checks in real-time using their devices. Vendor implementation team will meet with Fire

Department on an initial project kickoff meeting to discuss user specific checklists, apparatus, equipment, inventories, and rosters. User shall provide to vendor existing user documents in any format. Vendor will manage the entire project from beginning to end, normalize user data, import it into the system, configure the system based on user processes, and deliver a turnkey solution ready for rollout. System shall consolidate all operational checks – Vehicle, SCBA, PPE, Critical Asset, Inventory, and Station, into a single, cloud-based, turnkey solution designed to SJ FES unique requirements: setup the software, import user data, configure the software, test the software, train Fire

Department administrators, and rollout the completed system in 6 weeks or less. Vendor shall provide guarantee for system performance. The vendor provided full-service solution shall provide unlimited support after the initial rollout. Vendor shall serve as an "administrative assistant" to help with ongoing changes such as adding vehicles/equipment, revising checklists, adding crew members, revising schedules and more at no additional cost or limit on the amount of support needed.

Imaging Cameras (TICs), HazMat Detectors, and more, following NFPA and Department Specific

Guidelines, tracks assignment, repairs, expiration dates and usage events, track cost from purchase to retirement, schedule cleanings and inspections, and provide alerts and notifications.

Security - All data shall be stored in four database servers behind a firewall in a private cloud. The records written to the primary instance and then instantly replicated to the three other instances. Traffic is balanced between the four databases servers so that pages that just retrieve data do not access the same

DB that pages that write data. The net effect is that vendor shall have three copies of the data within milliseconds of it being added. The data stored within the system is considered "non-sensitive" information. The system shall be backed-up daily, so in a total failure vendor can restore to that set-point.

Materials: Vendor will provide any and all necessary software and hardware.
