QUESTIONS AND ANSWERSSITE VISITGARDENING SERVICES
DATE:July 12, 2013

VISTI TO THE EMBASSY CHANCERY BUILDING

· In the solicitation scope of work it was mentioned that there are some pots and plants to maintain. Where are those located?

There are some pots at the DCR Residence, but in all cases pots and plants are located in the backyard of the residences – some houses have interior gardens with a couple of plants, and the contractor would perform maintenance to those when the houses do not have an assigned tenant.

NOTE: In the back part of the Chancery building there is a wall of pine trees that carries a design with letters and logos to maintain on both sides.

· Who is responsible of performing maintenance of the equipment provided by the Embassy for gardening services?

Every machine and electrical equipment provided by the Embassy will be maintained periodically by the Facilities Maintenance crew, none of these machines should leave the Embassy compound, also the Embassy will provide all required supplies upon proper notice to the COR

· In case there is a need to supply a new tool or replace it, how should we operate?

Contractor should provide the required information through the Embassy COR to the facilities office for proper provision or replacement of needed tools

· In the case contractor needs to provide maintenance on different premises where equipment is not available, how do we work?

Contractor should plan and schedule such work, so that facilities office could provide support transporting equipment to residences.

· Since these are not regular services, are those accounted as temporary additional services?

Yes those would be part of the forecasted temporary services, and those could go up to 15,000 sq meters per year.

· In the case it is necessary to change grass patches in some areas, how is this purchase performed?

Contractor needs to measure and request the COR the amount of grass patches, plants or fertilizers needed to support some areas, the Embassy will take care, and provide them to the Contractor

· Where are the rest rooms for gardeners located?

Since gardeners will have badges to work inside and outside the Embassy premises, they can use any of the restroom areas of the building, but they have designated showers and restrooms in the basement of the Chancery building

· How often does tree trimming is needed for the set of trees located to the left side yard of the chancery building?

At least once a year, but you can submit your suggestions on the gardening maintenance plan required by the solicitation.

· Do you have automatic sprinklers in the Chancery garden area?

No, not in all areas, the backyard of the chancery's garden has sprinklers as well as the right side of the gardens where the pine trees wall is located.

· What about the rose garden?

This area does not have sprinklers and we intend to redesign it to a smaller garden, another area that does not have sprinklers is the vegetables garden either.

VISIT TO THE CMR RESIDENCE

· Does the tennis court area have sprinklers?

No, that area is watered three times a week with a garden hose

· The waterfall area has a pump to recycle water?

Yes, it has a 3HP pump that recycles water for the waterfall and there are no lights inside it, in order to make it easy to clean up the area.

VISIT TO THE MSG RESIDENCE

· This residence has some trees that might need deep trimming, is it ok for you?

As long as such actions are specifically presented and supported with justifications in the proposed Maintenance Plan, we do not object any of those improvements.

VISIT TO THE FM RESIDENCE

· In cases where maintenance has to be performed is other small gardens does the Embassy help us with transportation?

Yes at all times the Facilities office will provide transportation and equipment (if needed) to support such tasks, although there are always at least hand mowers to work in those houses.
