About this file
This document is a Request for Quotes (RFQ) issued by the Ohio Department of Natural Resources' Office of Coastal Management for HVAC service at the Old Woman Creek National Estuarine Research Reserve. The solicitation seeks HVAC suppliers to provide preventative maintenance and repair services from July 1, 2025, through June 30, 2027, utilizing the secondary solicitation process for DAS contract index MAC038. Bidders are required to service all facilities within their county, with site visits available by appointment between 8:00am-3:30pm Monday through Friday. The contract will be awarded to the lowest responsive and responsible bidder, with technical questions to be submitted through the OhioBuys solicitation inquiry portal.
Pricing for the contract must not exceed rates previously submitted to the Department of Administrative Services (DAS), though lower rates are permissible. Suppliers are required to complete an attached Excel spreadsheet with pricing for a specific scenario, which will be used for comparative evaluation. Invoicing requires strict compliance with 11 specific documentation requirements, including a unique purchase order number, complete service itemization, and direct submission to Financial Shared Services via email or mail. The contract is specific to the Old Woman Creek NERR location in Huron, Ohio, with a mandatory 4-hour emergency response time, and will be valid only through June 30, 2027, with any services after that date requiring a new purchase order.
