About this file

This document is an Amendment to a Request for Quote (RFQ) issued by the Department of Veterans Affairs Regional Procurement Office West for isolation carts. The amendment, numbered 0001, provides answers to vendor questions and clarifies key solicitation details. The solicitation (36C24W25Q0169) remains due on 06/05/2025 at 09:00 CST, with no extension to the original deadline.

The questions and answers address specific details about the cart procurement, including warranty terms, delivery, and cart specifications. Key clarifications include: (1) the Government will accept warranties beginning upon cart delivery, with flexibility around the "1st Patient Day" date of 01/20/2026, (2) confirmation that the Muskogee warehouse has a loading dock, and (3) a preference for solid yellow carts to maintain consistency with existing hospital equipment. The vendor inquired about a 12-year warranty, which appears to be longer than the industry standard, and the Government expressed openness to the proposed terms.

QUESTIONS AND ANSWERS

1. The SOW indicates the warranty must begin on the "1st Patient Day," 01/20/2026.

The carts we supply have a 12-year warranty versus the industry average of 1 (in some cases, 5-) year(s). Considering this, will the Government accept offers, and will the offer be found responsive if our warranty begins upon delivery of carts?

Yes, we will accept a warranty based on when the carts are delivered. 1st patient day has not been set at this point and is still subject to change if we need to remove that.

2. Alternatively, this requests confirmation that the carts not be placed in service (used) before "1st Patient Day."

As far as use before the 1st patient day, we are flexible, they will need to be stocked and placed throughout our hospital.

3. Please confirm the Muskogee Warehouse delivery point has a loading dock.

Yes, the Muskogee warehouse has a loading dock.

4. I am reaching out to clarify the color of the carts in the solicitation. The manufacturer offers solid yellow and two-tone yellow. If necessary, I can provide pictures of the different versions.

We prefer solid yellow carts to be consistent with what we have, and the staff is trained to recognize. If the cost is not a major issue opposed to the two-tone.
