About this file
This is a Request for Quotes (RFQ) issued by Fayette County Public Schools (FCPS) Purchasing Department for Band Instruments for Fine Arts Programs, solicitation number 26-012-085. The RFQ seeks to procure a comprehensive range of musical instruments across woodwinds, brass, percussion, and miscellaneous categories, including intermediate and advanced models of instruments like piccolos, flutes, clarinets, saxophones, trumpets, trombones, tubas, vibraphones, keyboards, and sound systems. The solicitation was issued on September 15, 2025, with questions due by September 19, 2025, and vendor responses due by September 24, 2025. The contract term is from the award date until December 31, 2027, with an option to renew for four additional one-year terms.
The RFQ includes detailed technical specifications for each instrument type, with vendors required to provide pricing, delivery time, instrument make, and model information on a comprehensive quote worksheet. Pricing changes are permitted with certain restrictions: price increases must be based solely on product cost, require documentation, and are limited to single changes of no more than 10%. FCPS emphasizes that lowest price will not be the sole determining factor in award selection, with evaluation criteria including price/cost, warranty, service guarantees, past performance, ownership costs, and business capabilities. The district reserves the right to accept or reject any price escalation, and the contract includes a provision for potential cancellation if funding is not appropriated by the Fayette County Board of Education.
