About this file

This is a Schedule B Pricing Matrix for a Request for Proposal (RFP No. 171 180000003469) issued by the State of Michigan for Media Storage Services. The RFP solicits proposals for comprehensive storage and handling of various media types, including microfilm in small and large boxes, magnetic tape reels and cartridges, optical discs, and miscellaneous media containers. Based on March 2018 volume data, the State anticipated storing approximately 2,183 small microfilm boxes and 942 large microfilm boxes monthly, along with 316 magnetic tape cartridges and varying quantities of other media types. The scope of work encompasses vault storage, retrieval services, new item intake and returns processing with internal tracking, and microfilm inspection services conducted in accordance with ISO/TR 12031:2000 standards. Contractors must provide detailed pricing for each service category and media type, with estimated monthly volumes specified for planning purposes.

Contractors submitting proposals must complete the pricing schedule in a modifiable format such as Microsoft Word or Excel, with the option to submit an additional non-modifiable PDF version. All costs must be itemized and include one-time setup charges, shipping and handling fees, per-piece pricing, and palletizing costs. Contractors are encouraged to offer quick payment discount terms and must certify that prices were developed independently without consultation or agreement with other bidders. The pricing structure allows for individual line-item pricing across storage categories, retrieval operations, check-in services, and inspection activities, enabling the State to evaluate proposals on a detailed cost basis for budget planning and vendor selection.
