About this file
This is a Questions and Answers document for RFP 15-011, an exclusive beverage agreement for the Colorado Community College System (CCCS), which serves 13 colleges across the state. The RFP seeks a beverage vendor to supply vending machines, fountain units, and coolers to support beverage sales at CCCS locations. The current operation includes 104 vending machines, 8 fountain units, and 32 coolers generating annual volumes of 11,110 cases of full-service vending products, 4,576 gallons of fountain beverages, and 20,675 cases of bottle and can products for a total of 36,361 units. Site visits can be arranged by contacting Terry Hindsman at terry.hindsman@cccs.edu to determine machine placements. The contract term is structured as a single 5-year agreement rather than one year with four 1-year renewals options. CCCS serves more than 134,300 undergraduate students and trains an additional 17,000 Coloradans annually through various programs, with approximately 17% of students participating in online-only programs.
The RFP requires vendors to propose monthly commission payments based on product sales volume, with commissions paid directly to each of the 13 colleges on a 13-period annual payment cycle. Commission and sponsorship or scholarship payments are due within 30 to 45 days of the contract anniversary date. Certain locations operate third-party cafeterias and bookstores managed by Sodexo or other vendors that are exempt from the contract, while several other third-party operations have expressed willingness to work with the awarded vendor. Five colleges operate athletic programs including basketball and/or baseball. The incumbent provider's historical data informed the volume projections and operational requirements outlined in the RFP.
