About this file

This document is a Request for Information (RFI) issued by the University of Washington (UW) to solicit information for a third-party provider that can intake, deliver, and process cash and check deposits for the UW Seattle, Bothell, and Tacoma campuses. The RFI seeks a secure method for deposit intake and processing that meets Washington State's deposit frequency standard as stated in the State Administrative and Accounting Manual (SAAM) 85.20. The RFI specifies a minimum of 5 deposit devices, with potential for more in the coming months and years. The desired implementation date is June 30, 2025. UW will provide space and power, but the network connection requirements are to be determined. The anticipated number of daily deposits per device is around 20, with 1-2 armored pickups per week per device.

Pricing is requested for the deposit intake devices, hosting services, and reporting processes. UW is open to using the supplier's standard equipment locks or working with the armored courier to determine the appropriate lock. Funding sources and requirements are not specified in the RFI. The RFI does not mention any incumbent providers or set-asides.

RFP Questions
Section #Section TitleParagraphQuestionUW Response
2.1Information Requirements and Instructions1Will we be allowed to submit pricing for the devices, hosting services, and reporting processes only as we do not provide armored pick-up services.Yes, please provide pricing for services that are provided by your company. No need to provide pricing that is not offered.
2.1Information Requirements and Instructions1Does the daily reporting process involve transmission of data directly to the financial institution or is the daily reporting only to UW?It would be for both if available. Data to financial institutions would be for potential provisional credit, and data to UW would be for reconciliation
2.1Information Requirements and Instructions1Does the UW plan on providing provisional credit on a daily basis for the said-to-contain deposit drops? If so, will a sample file format be provided or will the FI accept a supplier formatted file?Yes, UW plans on receving provisional credit on a daily basis. As far as the format, that will be determined during implementation with the financial institution.
2.1Information Requirements and Instructions1What is the timeframe for delivery and installation? The RFI suggests a minimum of five units, is there potential for more and if so, how many more additional devices may be needed in the coming months/years?The plan is to have new process implemented by 6/30/2025. Currently 5 devices would be max. No plans at this time to request additional devices.
2.1Information Requirements and Instructions1Should labor be quoted to deliver, install, test, and turnover the devices? Or, would UW prefer to self install the devices? Please include cost of labor of install, test, and turnover.
2.1Information Requirements and Instructions1Will UW provide space, power, and network connections? Would you like supplier to provide private/secure cellular network communications?UW can provide space and power. Network connection would be TBD based on the requirements.
2.1Information Requirements and Instructions1Does UW have an incumbent facilities group or maintenance company that you would like the supplier to work with to coordinate installation to potentially save money on installation of smart deposit stations?UW does have a facilities team that can support this work.
2.1Information Requirements and Instructions1What size deposit bags/envelopes does UW utilize? May they be modified to include a QR code on the outside of the bag? Does UW anticipate using RFID technology within the bag?Utilizes bank provided bags that are 9x13 or 12x17. Unsure if the bank would provide bags with QR code but it can be explored. It currently has a bar code. We do not anticipate RFID technology but open for discussion
2.1Information Requirements and Instructions1What is the acticipated number of deposits per day, per device?Roughly 20 deposits daily.
2.1Information Requirements and Instructions1How many armored pick ups per device per week does UW anticipate?1 to 2 pick ups a week.
2.1Information Requirements and Instructions1Is there a typical digital combo lock that UW or current armored provider would like to see on the deposit stations? If unsure, manufacturing lock supplied is a standard Group II mechanical combination lock which may be replaced in the field by armored provider.Undecide at this time. Will depend on what the armored courier requires.
