The project involves removing and replacing existing audiovisual equipment, including a new 4K laser projector (20,000 lumens), professional-grade Blu-Ray player, amplifier, ceiling-mounted speakers, wireless microphone, and a unified controller. The pre-proposal meeting is mandatory and scheduled for January 8, 2025, at 10:00 am, with questions due by January 16, 2025, at 2:00 pm and responses due by January 22, 2025, at 4:00 pm. All quotes must be submitted online through the Collier County Procurement Services Division Online Bidding System, and the contract is intended to be a one-time purchase with firm pricing.

The project requires comprehensive insurance coverage, including Workers' Compensation, Employer's Liability, Commercial General Liability, and Automobile Liability, with specific coverage limits outlined in the document. The vendor must provide proof of insurability within five days of award and ensure all subcontractors meet the same insurance requirements. The pricing proposal is structured as a lump sum (LS) for the entire project, with vendors required to upload additional documentation such as W-9, E-Verify/Immigration Affidavit, Sunbiz information, and any necessary licenses. The county will select the responsive vendor with the lowest quote, and the project includes a testing and training session to ensure staff can effectively use the new audiovisual system.
