About this file

This document is a Questions and Answers (Q&A) file for Solicitation 23ITB137647B-RT issued by Fulton County Government for Discarded Books (Weeded Materials). The document details responses from the Fulton County Library System to inquiries from Better World Books regarding the potential procurement of weeded library materials. The Central Library anticipates weeding 500-1000 books monthly (approximately 30 boxes), with other branches contributing 100-300 books monthly. Currently, the library is only interested in book materials, specifically monographs, and does not plan to send non-book items like music CDs, audiobooks, or Playaways to the selected vendor. The library indicates the volume of weeded materials should remain relatively constant over the next couple of years.

The library uses Sirsi Dynix as its Integrated Library System (ILS) and currently works with Baker & Taylor and Brodart as book vendors, with their next Request for Proposal (RFP) for Shelf Ready Books planned for 2024. All library branches can accommodate at least 15 boxes of weeded materials, with some branches capable of holding up to 25 boxes. No branches are accessible for pallets or gaylords. The Q&A document also clarifies that no vendor will be evaluated based on non-book media, and while media items might be accepted depending on quantity, there would be no client credit for such items. The solicitation appears focused on finding a vendor capable of efficiently managing and potentially monetizing discarded library book materials.

No Question/Answer Question Date

Answer: 1. Better World Books is prepared to take the items requested but can only monetize monographs. How many of each of the following items will each location typically weed each month:

books, music CDs/ audiobooks, Playaways? The number of books will vary by branch and it’s difficult to say. The Central Library will have the most, with up to 1000 items a month. Other branches will have between 100-300. The library is not currently weeding non-book items and does not plan to send any to the chosen vendor.

2. Do you see that volume changing significantly over the course of the contract? The Central Library will have the most volume, sending in 500-1000 books, or 30 boxes, each month. Other branches will have less, but it’s hard to estimate. The numbers should remain constant over the next couple of years.

3. What is the maximum number of boxes/ pallets/ gaylords each Branch location can hold? All branches can hold at least 15 boxes. Some branches can hold up to 25. No branches are accessible for pallets or gaylords.

4. Which ILS provider do you use? Sirsi Dynix

5.Which BOOK VENDOR are you using for books? Baker & Taylor and Brodart

6. When is your next RFP/ contract start date for your book vendor? Our next RFP for Shelf Ready

Books is 2024.

7. Which VENDOR are you using for media? Baker & Taylor

8. When can we expect to receive an answer to the above questions please? Please see the above responses

Q2 Question: Bid Form Question

Since we do not accept Media items but may accept them (depending on quantity) as part of any agreement, understanding there would be no client credit for those items, how do we distinguish for book product separate from media, if the bid form does not allow for that?

Answer: Since we do not accept Media items but may accept them (depending on quantity) as part of any agreement, understanding there would be no client credit for those items, how do we distinguish for book product separate from media, if the bid form does not allow for that?

Since we are not weeding non book materials at this time no vendor will be graded based on non-book media.
