Questions and Answers #2

ADVERTISEMENT NUMBER: DOT-RFP-24-5003-CAFE

DESCRIPTION: District Five DeLand Cafeteria Services

DATE: 9/21/2023

1. Is internet service available for us to use/connect to for point of sale, online ordering, etc. Or are we required to bring our own internet service into the cafeteria?

Answer: The vendor must provide their own secure internet for point-of-sale transactions, etc.

2. Is there an office or cubicle the manager can use for office function, interviewing, team meeting, phone calls and office work?

Answer: Vendor may request a conference room through the Facilities Management team.

Currently there is no designated office space for the cafeteria vendor to conduct office work.

3. What is the process for requesting new equipment procurement? For example; high volume coffee maker, refrigerated self-service salad bar cart and associated connections for equipment function such as water supply and power.

Answer: Items may be requested and will be forwarded to the project manager and procurement for review. Depending on the item requested, approval may not occur as we are only able to maintain/replace equipment that was purchased during construction of cafeteria. The contractor is able to bring in equipment with approval from project manager.

4. Process for requesting small ware purchases such as pots, serving utensils, etc.

Answer: Items may be requested and will be forwarded to the project manager and procurement for review. Contractor is able to bring in materials, supplies and equipment in order to serve food.

5. Typical turn around for equipment repairs if necessary?

Answer: Once reported the service request is processed either the same day or next. Vendors will typically repair items within 2 days unless parts are on order.

6. Should a refrigerator fail over a weekend, would there be reimbursement for spoiled food.

Answer: No. FDOT will not reimburse spoiled food. Security will be asked to check equipment while on tour once a vendor is utilizing equipment. Should equipment fail security or on call will notify vendor and assist with relocating if possible.
