About this file
This is a Proposer RFP Checklist document prepared by the City of Santa Monica, California, in connection with a request for proposals to provide Arts Programming and Artist Tenant Relations Management services for the Santa Monica Airport Art Studios located at 3026 Airport Avenue. The checklist provides mandatory guidance for proposers preparing responses, including the requirement to read the entire RFP document, attend any pre-proposal conference if offered, submit questions by the specified deadline, review all formal addenda posted on the City's online vendor portal (ProcureNow), and acknowledge receipt of each addendum with a signed statement. Proposers must format their responses according to RFP requirements, provide point-by-point responses to all sections in clear and concise language, and ensure all required materials are submitted by the deadline specified on the RFP front page, as late proposals are not accepted. The initial contract term is one year with the possibility to renew for four additional years.
The checklist emphasizes that proposals will be evaluated solely on the information and materials provided in the response and directs proposers to review the RFP document multiple times before submission to ensure all requirements have been addressed. Proposers are instructed to check ProcureNow regularly for any addenda issued for the RFP and to note all critical items such as mandatory requirements, supplies and services required, submittal dates, format specifications, and contract requirements including insurance, performance, and reporting obligations. The checklist does not specify pricing terms, set-asides, funding sources, or other financial details.
