1. Nature and/or description of the item/service being procured and its intended use (include the anticipated cost):

Complete the job of replacing outdated control system and related equipment in the theater of the Mount Rainier National Park Paradise Jackson Visitor Center. The contractor shall provide all labor, materials, professional services, facilities, and travel necessary to replace the existing control system and related electronics to bring the system up to current standards of performance and reliability and to work with the lighting and audio description systems at the Paradise Jackson Visitor Center theater, Cost is estimated at $31,650

Explain: JayMarc was the vendor awarded the original electronics installation contract in 2008. This contract will replace the equipment with new technology designed to work together seamlessly. Using this company will be a cost savings due to their understanding of the space, the equipment requirements such as room acoustics and throw distance for the lens, conduits and wiring, auto-triggering, captioning, and audio description. This vendor was also recommended by HFC to fix issues that had developed with the original equipment. After changing out a few components it became clear that complete replacement of the dated technology was the only dependable approach to correcting the issues. JayMarc installed government furnished equipment, but much more needs to be purchased and installed. They have intricate knowledge of complex AV systems and specifically of the new equipment installed in the theater. They have proven to be highly skilled, experienced, and dependable. A key park need is the ability to have the system serviced within a day or two of an issue arising by a company that works regularly with the specific technology. Due to the remote location of the visitor center and the unreliability of the weather, it is often difficult to find a vendor who will respond when issues arise. JayMarc is local and has proven they are willing to respond in a timely manner during most any weather conditions.

3. Market Research. Please explain the results or why one was not performed. State whether any other offers were received or anyone expressed interest:

Market research was done by HFC prior to the start of the initial project. JayMarc was determined to be the only local company (within 125 miles of the park) with the skills required to do the job. They are cost efficient, have a high level of understanding of AV technology and equipment, have proved dependable service beginning with the installation of the original theater equipment in 2008, and are reasonably priced.
