About this file
This is a Performance Work Statement (PWS) for meeting space deposit requirements supporting the National Veterans Summer Sports Clinic (NVSSC) scheduled for May 14-24, 2027, in Orlando, Florida. The PWS establishes requirements for the contractor to provide meeting space and specifies that the Government may require a deposit to secure the contracted meeting space for the specified event dates. The deposit amount must be identified and approved by the Government prior to award and will be applied as a credit toward the final invoice. The contractor must provide written documentation identifying the deposit amount, payment due date, meeting space being secured, and applicable terms and conditions. Any cancellation, modification, or forfeiture associated with the deposit must be clearly identified in the proposal and incorporated into the resulting contract.
The solicitation is being conducted as a sole source procurement to U.S. Army Shades of Green on Walt Disney World Resorts under FAR justification that only one responsible source can satisfy agency requirements. Only the hotel property itself may submit an offer; proposals from third-party vendors, brokers, or booking agents are not authorized. The contract will support approximately 100 disabled veteran participants along with family members, coaches, and volunteers for adaptive sporting events, ceremonies, and administrative/clinical functions. Invoices must be itemized with specific information including date of service, service description, unit cost, extended amount, invoice number, contract number, and obligation number. The Contracting Officer must be notified of any conditions affecting performance within one business day, and all changes to the agreement must be issued in writing by the Contracting Officer.
