Answers to Vending Questions

1. How many employees work at this facility? What will the employee “on site” count be for the immediate & long term? There are approximately 3,200 employees at the NASA Glenn Research Center when fully staffed. However, we currently have approximately 50% of our staff on-site due to the pandemic and we expect to be staffed at 75% in the Spring of 2022. For the long term, we anticipate that the future of the workplace will be different than the pre-COVID workplace. There may be approximately 25% of the work population that will continue to work from home beginning in the Spring of 2022.

2. What is the current population for each building occupied? Some buildings have more people on-site than others, and we do not have a good way to capture the current population for all buildings occupied. Below please find a table with the breakdown of the estimated population in buildings where we historically had vending machines located.

3. Is it a 24 hour facility? Yes, the Glenn Research Center is a facility that is open and available to employees 24 hours. However, the vast majority of employees work between the hours of 6:00 a.m. to 5:30 p.m. There may be times when our test facilities run during second and third shift, but that is not the norm.

4. Do you anticipate a 100% Return to in Person at each facility? Is there a plan to return to the office? If so, can you provide the anticipated date? If it will be a “work appropriate” model or “Hybrid” model, can you share any detail of that? We do not expect a 100% return to in-person at the Center. For the long term, we anticipate that the future of the workplace will be different than the pre-COVID workplace. There may be approximately 25% of the work population that will continue to work from home beginning in the Spring of 2022.

5. What percentage of the current population is working from home per building? We do not have a good way to capture the current population that is working from home per building for all of our buildings. In the table below, we attempted to capture the expected population at 75% of our employees on-site, for each of the buildings in which there has historically been a vending machine.

6. What is the current pricing and commission structure? All of the vending machines have been emptied as of March 2020. To get a general idea of previous pricing, a 20 oz. bottle soda sold for $1.75, candy/snacks sold at $1.00, and pastries at $1.25. The commission structure is considered proprietary and will not be shared. Offerors are encouraged to be competitive in their proposals.

7. Can you provide any historical sales for each location? While historical sales for each location are not available, between 2018 and 2020, the average monthly sales totaled $6,300. Please note that this was pre-Covid with nearly 100% of the workforce on-site, and with nearly double the number of machines than we are currently requesting.

8. Can you provide a list of vending equipment by site? Please see the table below for the number and types of vending machines we historically had installed at each location.

9. Are you considering a Micro Market format? Not at this time.

10. Will you need any type of coffee vending machine or are you looking for snacks and soda specifically? We are looking for snacks and soda/water/other cold beverages at this time.

11. Are we able to schedule a tour of the facility? Yes, we can schedule a tour of the facility. Please see the amended Request for Proposal for information on how to participate in a tour.

12. What is the current service schedule? Previously, the vendor agreed to restock the vending machines on a frequent basis, and the frequency was sufficient to ensure that the vending machines were well stocked. The previous service varied based on need for restocking.

13. What areas of improvement can be made with the current vending program? There are no areas of improvement identified for the current vending program.

14. Are you open to utilize commission funds for employee engagement events or investments in new concepts rather than traditional commission checks? While we are always interested in hearing new ideas and innovative concepts, we are currently interested in commission payments only.

15. Are you Open to new Concepts versus traditional Vending so employees and guests can enjoy an enhanced experience? Meaning can we propose alternative solutions with or in place of traditional vending or alongside vending solutions. Alternative solutions can be proposed for consideration at a future date, however we are currently interested in vending solutions as described in the Request for Proposal.
